Acuity One45 - How to Add Learners to the Rolodex

Adding Individual Learners to the Rolodex
An external student is one who belongs to a different program or university (as opposed to an internal student, who belongs to your program). Often, an external student is added automatically to your Rolodex when their parent program schedules them for one of your rotations. However, if the student's parent program does not use One45, or they come from another university, you will have to add the student to your program manually.

- Log into the Acuity One45 system.
- Click the Rolodexes tab.
- Click the Resident/Student tab.
- Click on the INT or EXT link next to add: depending on whether the learner is internal or external to your program.
- Search for the learner that you would like to add by the first few letters of their last name. You always start by searching for an individual before adding them to the system. If you don't, and you add someone who is already in the system, you will create a second eDossier for that person.
- If the learner appears, they are already in the system and do not need to be added. If the learner is not on the list, create new internal resident/student link.
- Enter the learner's information in the corresponding fields. Be sure to enter the correct start date (i.e., the day the learner starts your program).
- Click the Submit button. If you are adding a person that does not exist in the system, the learner will be added to your Rolodex.
Adding Learners by Batch into the Rolodex
Super Administrators can import large batches of learners to your program. For assistance with batch imports please contact acuityone45support@med.wisc.edu.
