Acuity ONE45 - Student Absence Requests Phase 2

This document will describe how department and statewide coordinators will receive information about student absence requests.

This document will outline the notification process for department and statewide coordinators for Phase 2 student absence requests. To understand the student process, please view the Filing Absence Request Knowledgebase document

IMPORTANT NOTE: The process below uses a notification within Acuity One45 called the Low Performance Flag. The Low Performance Flag is also currently being used as an indicator to block leads and leadership when a student receives specific marks on their assessments. 

For absence requests, Low Performance Notifications are set up at the "Parent Course - Location" (e.g. CPC-MSH, AC-LAX) level within Acuity One45. This means that multiple coordinators may receive notification for the same absence request to ensure all parties receive the information. 

Notification Process for Phase 2 Absence Requests

  1. After an absence request is approved or denied by the course coordinator, a notification will be emailed and show up in the To Do page of the department/site coordinator(s).  
  2. The Absence request will show in the To Do Page and include: Student name, date, status, Acuity environment, and contact information

  3. To view the absence request, click on the name of the target. A new tab will open with a split screen.
  4. The top of the split screen will display who has access to view the approval information and if there are comments on the information. To leave a comment, find the open text box next to your name and type comments.
    NOTE: These comments are visible to others who have access to the form, but are NOT visible to students.

  5. The second part of the information can be accessed by hovering the cursor on the lower half of the split screen and scrolling down. This information will show the original absence request form and the approval/denial.

  6. To close the form and the notification, Acuity One45 provides two options
    1. Post and Keep Active: This keeps the notification and the forms within the user's To Do Page. 
    2. Post and Dismiss: This will provide a "sign-off" and remove the Low Performance notification from the To Do page.
