OnCore: Quality Control Process

Overview of the quality control processes conducted in OnCore.

Overview

These initiatives are being undertaken to ensure accurate metric reporting can be generated for departments, the institution and to provide to external agencies. It will also ensure accurate information is shared with UW Health partners through Health Link.

The standardized queries will be ran against the data entered in OnCore and identify: missing, malformed or illogical data.

Research leadership is very invested in these metrics and knowing this information extracted from OnCore is valid and has undergone quality review. If egregious discrepancies are present in either quantity or time to resolution these situations will be referred to research leadership for assistance.

Process

These query exports will be sent weekly to the identified Protocol Coordinators. As the queries are addressed, they will automatically be dropped from future reports.

Workflow

The QC Reports will be generated by the CTMS report team.

Then the members of the research team should review the query listing while referencing the Data Field Definitions (DFDs) and other posted OnCore related guidance.

At this point, the query, if valid, should be addressed directly in OnCore by a member of the research team within 30 days of the data discrepancy generating. 

If a query does not seem appropriate, an exemption can be requested and the CTMS Team will review and update the query code accordingly.
