REDCap: Updating Mobile App Projects

Why are you required to make this change?

The REDCap migration occurred on 6/25/2025.  Along with this migration, the system's URLs have changed which impacts the way the Mobile App sends data to a REDCap Project. 

To ensure any pending Mobile app data can be transferred you MUST take the steps below for your Mobile App projects.

    1. Send (sync) all pending data to your REDCap found at redcap.wisc.edu.
    2. Delete the REDCap project from your Mobile app for all connected devices.
    3. Add the project back to the Mobile app using your QR code or unique code. 

For more details on each step, please see the instructions and screenshots below.

**These changes must be made prior to 7/11/2025 to ensure your project will not be impacted.  After this point, syncing current projects to the new REDCap server may become unavailable.**


Step 1. Send App Data to REDCap

Before refreshing your project, if you have any pending data that needs to be imported into REDCap you MUST sync (send) your data back to the REDCap server.  This will update the data in your REDCap project and ensure all data you've collected from the app is saved. 

Data must be synced from EVERY device that is connected to the project.  (i.e., if you are using both a smartphone and a tablet, both may need to be synced to have their data saved in REDCap.)

Steps to Sync Data

1. Use the Mobile App to login and view the app's projects.  After logging in under a profile, select the "My Projects" button.

2. Select the project you need to sync.

3. Once in the project, select "Send Data to Server" to start the sync process and transfer your data.

4. Select which data to send.  You may send All Data in the app or select specific records from the app to send to REDCap.

5. If you are modifying existing records, the app will ask you to confirm that it is ok to modify the existing record's data.

6. Once completed, you will see a "Sync Complete" message and the option to return to the project.

Step 2. Delete Project from Mobile App

After you send your data to REDCap, you will need to refresh your project to use the new URLs for all devices connected to the project.  This step requires you to delete the existing project from the app. 

This step WILL delete all saved data from the app.  Be sure to follow Step 1 first to send your data to REDCap before proceeding.

1. Within the Mobile App, navigate to the project you need to reconnect. Once in the project page (the same page where you had the option to sync your data), select the Project Admin button.

2. In the Project Admin page, select "Remove Mobile Project".  This will remove the app from the device.

3. After, you will receive confirmation that the project has been removed and you will be returned to the select a project page.

Step 3. Re-Add Project to Mobile App

Once the project has been deleted from a device, now we can add the project back to the app and connect it to the new WISC REDCap URL.

1. From the initial Mobile App page after you enter a profile, select "Set Up Mobile Project".

2. Use one of two options to connect the REDCap project to the Mobile app.  You may scan a QR code or use a text code to link the project.

3. On your computer or other device, open a web browser and access your REDCap project in REDCap at REDCap.wisc.edu.  Find your QR code or alternate code under the REDCap Mobile App link on the left-side Applications menu within REDCap.

4. Once you are on the mobile app REDCap page, you can see and scan the QR code to the mobile device using the "Scan QR Code" button shown previously.  Use the phone or tablet to scan the QR code from the web browser. Alternatively, you can use the link underneath the QR code to obtain a text code to use instead.

5.  The project should appear in your list of Projects in the Mobile App again.  After entering the project from the app, you can choose to download a subset of records or the full dataset from the REDCap project back to the app.
