Compensation Cutover

A successful transition to Workday depends on a clear and timely cutover plan for when we stop entering information into old systems and begin entering information into Workday. The following guidance and timelines have been established.

SMPH Compensation Cutover Plan

There will be a rate and title request pause to allow our HR team to focus on the multiple compensation exercises that have an effective date around the implementation of Workday. This will also allow time for our compensation team to review requests submitted by the HR team and process them in HRS prior to the cutover to Workday.

The final day that our HR team will be able to submit requests to be reviewed prior to the cutover in July will be May 1, 2025. Please keep in mind that our HR team often needs to have multiple conversations with a supervisor prior to submitting a rate or title change request and will need time enter the request in the system. We recommend reaching out to your HRBP as soon as possible, but no later than April 24 for any rate or title change requests that you may have between May and July. The effective date of the request can be between the dates of May 4 through June 1. Any requests with an effective date of June 15th or later will need to wait to be entered until July after the transition to Workday. If there are urgent retention situations that arise after 5/1/25 please reach out to your HRBP to discuss the possibility of submitting a request after this date.

In addition, lump sum requests for the 6B payroll (6/15/25-6/28/25) will need to be submitted for review to the compensation team no later than June 16, 2025. This will allow time for entry and appropriate approvals. There likely will need to be additional communication with the HR team and supervisor prior to June 16th to allow time for the HR team to discuss the request with the manager and draft and send the request to the compensation team. We again recommend reaching out to your HRBP as soon as possible but no later than June 9, 2025 for any lump sum requests for the 6B payroll ((6/15/25-6/28/25). Lump sum requests with an effective date of June 29th or later will need to wait to be entered until July after the transition to Workday.

Recommended Last day to reach out to HRBP about a rate and or title request change.

5/01/2025

Last day HRBP can enter a rate and/or title request in JEMS. Can utilize 5/4/25, 5/18/25 or 6/1/25  effective dates. Requests with an effective date of 6/15/25 or later will need to be entered in Workday.   

6/9/2025

Recommended Last day to reach out to HRBP about lump sum payments for the 6B payroll (6/15/25-6/28/25).

6/16/2025

Last day to submit add'l pays to SMPH Compensation for the 6B payroll (6/15/25-6/28/25).

7/7/2025

Workday catch-up and go
