Performance Management Cutover

A successful transition to Workday relies on a clear and timely cutover plan for when we stop entering information into old systems and begin entering information into Workday. The following guidance and timelines have been established in relations to performance management.

Completing 2024-2025 Summary Evaluations and Sunsetting PMDP

2024-2025 Staff Summary Evaluations

The 2024-2025 staff summary evaluations will be completed in PMDP for the fiscal year cycle running from July 1, 2024, through June 30, 2025. 

Important Notes

  • A school wide communication will be going out on (or around) May 1st to kick off this process. 

  • Evaluations for fiscal year 2024-2025 must be opened by the supervisor in PMDP by May 31, 2025.

  • All evaluations, including probationary evaluations due prior to July 15, must be opened by the supervisor in PMDP no later than May 31, 2025. 

  • While evaluations must be opened by the supervisor May 31, 2025, they do not need to be finalized until October 1, 2025. 

  • We are providing this extended timeline due to the transition to Workday. 

Workday Launch

The Workday launch for performance management will occur in mid-late July (exact date TBD). This launch involves inputting all goals and responsibilities into Workday for the 2025-2026 fiscal year. At launch, one of two templates will be pushed to managers for every employee that requires an evaluation

  • Template 1 – Employees NOT ON probation on launch date (TBD).
    • Includes fiscal year 2026 goals, expectations and an overall rating for each responsibility.
    • For the initial Workday evaluation, only one rating will appear in the drop down.
      • “The responsibilities have been updated as needed for this position.”
    • Supervisors/Managers will be required to input review and goal setting data into Workday by October 31, 2025.
  • Template 2 – Employees ON probation on launch date (TBD).
    • Includes goals and expectations, no ratings
    • Manager will receive a task to complete the probation review from HR once the probation ends.

TEMPLATE 1 (Most Employees):

All University Staff and Non-Instructional Academic Staff not in probationary period as of LAUNCH DATE (TBD but likely late July)

PMDP: Manager opens Summary Evaluation covering 7/1/2024 – 6/30/2025 by May 31, 2025.

PMDP: Manager completes final Summary Evaluation prior to October 1, 2025.

Workday: Manager enters FY 2026 expectations, goals, and overall rating from previous review. Attach PDF of previous review from PMDP for easy reference (optional)

TEMPLATE 2:

All employees in probationary period as of LAUNCH DATE (TBD but likely Late July)

New Limited appointments effective 2 months or less from Launch Date (TBD but likely Late July)

PMDP: Situational, refer to Probation Implications section below. 

Workday: Manager sets expectations, goals, etc. No ratings entered. Manager will receive a task in Workday to complete the probation review before probation ends.
