Travel with Students Guidelines

The goal of these guidelines is to ensure, to the fullest extent possible, that the health and safety of our students and employees is protected.

The goal of these guidelines is to ensure, to the fullest extent possible, that the health and safety of our students and employees is protected. 

 

International Travel 

  1. Seek approval from your department chair or supervisor prior to initiating a study abroad experience. Department chairs, in consultation with the Human Ecology Dean’s Office, will consider whether the proposed program fits within the department’s strategic priorities and if there are adequate resources to support the initiative. 

  1. All SoHE sponsored international experiences involving students must be offered for credit and coordinated through the appropriate UW-Madison International Division office.  Plan at least one year in advance as it takes time to develop new programs. These offices will provide you and your students with comprehensive travel preparation and safety precautions.

Domestic Travel  

  1. Seek approval from your supervisor or department chair prior to initiating travel with students.  This includes any time you are taking students away from campus as part of a course, program, or event —class field trips, class meetings off-campus, employer site visits, conferences, case competitions, etc.  

  1. Prior to travel, complete the SoHE Traveling with Students Form. (A copy of the form is submitted to the SoHE dean’s services email account.) 

  1. Prior to travel, have students complete the University Field Trip Participation & Emergency Contact Form. (A copy of this form goes to the responder, trip sponsor, and SoHE deans’ services email account.)  

  1. Follow the UW-Madison Field Trip Guidance, which includes guidance on transportation. 

    • For course-related travel, arrangements should be made by the instructor following university guidelines, ensuring the experience is accessible to all. The instructor should also identify alternative options for students who are unable to participate in the experience.  

  1. Establish the following emergency contacts: (1) on-site emergency contact (i.e. trip leader) that is available to trip participants 24 hours a day during travel, (2) an on-campus emergency contact.  Ensure that both parties have the following information:  

    • list of student travelers 

    • student traveler phone numbers 

    • student traveler emergency contact name/numbers 

  1. Prior to departure, educate students about behavioral expectations, travel safety precautions and who to contact in case of an emergency. 

  1. Faculty or staff traveling with students on university business are Campus Security Authorities (CSA) under the federal Clery Act. That means if a crime is reported to you, you must forward a report of that crime to the UW-Madison Police Department. Prior to traveling with students:
