Outlook (Windows) - Mapping a Shared Mailbox or Service Account

Follow these steps to map a shared mailbox or service account in Outlook on Windows.

In order to complete these steps for a particular account, you must have full mailbox access to that account. If you are unable to complete these steps or need assistance, please contact Technical Support.

Follow steps in one of the sections below based on your version of Outlook. You can check your Outlook version by following these steps from Microsoft.

New Outlook

  1. Open Outlook.
  2. In the top-right of the window, click the Settings Gear icon indicating settings button button.
  3. Navigate to Accounts > Shared with me.
  4. Click the + Add button.
  5. Enter the email address you'd like to map.

    If the address doesn't show up in your search, please contact Technical Support.

  6. Select the email address from the dropdown.
  7. Click Continue.
  8. Click Restart Outlook to allow the change to take effect.

The account will appear at the bottom of your folder list.

Classic Outlook

  1. Open Outlook.
  2. In the top left of the window, select File > Add Account.
  3. Enter the email address you'd like to map.
  4. Click Connect.
  5. When prompted for a UW-Madison login, enter your NetID credentials.
  6. Click Log In.
  7. If prompted, authenticate this login with your MFA device.
  8. Click Done.
  9. Restart Outlook.

The account will appear at the bottom of your folder list.
