Adding a Ricoh WCER network printer to domain-joined computers: Windows

WCER floor printer setup for Windows domain-joined computers. All Windows laptop or desktop computers deployed in the last 5+ years are domain joined.

Requirements

SoE-AD Domain Membership

Your PC computer must be already joined to the soe-ad domain.
NOTE: All desktop PCs and Windows laptops provided by WCER are domain joined.

Network Connected

Windows computers must be connected to the network in the following ways:

  1. Ethernet:  Signed-in within a School of Education building (Education, Teacher Education, Educational Sciences) using an Ethernet patch cable to an active port on a network wall plate.
  2. Wi-Fi:  Signed-in to the School of Education's GlobalProtect VPN client. Please refer to SoE WCER Departmental GlobalProtect VPN for connecting to the SoE WCER Departmental VPN. 

Connect to a WCER Network Printer

Click on the Windows Start menu icon and search for “printer” then select Printers & scanners
 from under the "Best match" list when it appears.
Alternatively, the path from the Start menu is:  Settings > Bluetooth & devices > Printers & scanners

Search for Printers & scanners Settings

 

Click on the Add device button under Printers & scanners

Click on the "Add device" button



Scroll through the list of printers and select Add manually from under "The printer that I want isn't listed" section.
NOTE: The list of available printers may grow while scrolling as your computer searches for available printers.

Select "Add manually"

 

Select the radio button for Select a shared printer by name.
Enter the printer share by following the example. The computername is spruce and the printername is the name of the printer you are installing.
In this example we are adding the printer called omaha
. As you begin typing \\spruce\omaha, you will eventually only see the OMAHA printer.
Select it and
click the Next button.

Choose "Select a shared printer by name"

 

The print server will automatically install the printer's driver for you.

The driver will download and install automatically

 

You will receive a confirmation that the printer has been added and the name assigned to it.
Click on the Next button.

Printer install confirmed. Click "Next button.

 

The printer was added successfully.
DO NOT print a test page for any of the Ricoh floor printers. A job code has not been entered yet so the printer will not let the job through.
Click on the Finish button.

Click on the "Finish" button

 

You should now see the printer you just added in the list of devices under Printers & scanners.

The printer is now listed under Printers & scanners

The printer is now installed, but print jobs will not make it through until we configure the printer. To do this proceed to the Configure a WCER Network Printer section of this article.

Configure a WCER Network Printer

Before users will be able to print to a Ricoh floor printer, the printer must be properly configured. This involves changing the color mode to Black and White and inserting a 4-digit project print code.
In this example, the Ricoh printer's name is "OMAHA (5th Floor 576) on spruce". Substitute your printer's name wherever you see "OMAHA (5th Floor 576) on spruce" in the documentation.
 
Select OMAHA (5th Floor 576) on spruce from the Printers & scanners settings to expose the available settings options.
Then click on Printing preferences
Select "Printing preferences" for the printer you wish to configure.



Under the "Basic" tab, change the Color Mode to Black and White
NOTE:
Failure to change to black and white results in a .40 per page charge fee, regardless if the document contains color or not.
Choose "Black and White" under the Color Mode drop-down menu.



Also under the "Basic" tab, click on the User Code Setting... button.
Enter your project's 4-digit User Code (e.g. 1234)
Click on the OK button.

NOTE: Project print codes are generated by the WCER Research Admin team and are given to the PIs of projects. Please contact your PI or Project Manager if you do not know which print code(s) to use.

Enter a 4-digit user code




Click on the OK button to complete the configuration process.
