Adding a Ricoh WCER network printer to personally-owned computers: Windows

WCER Ricoh printer setup for Windows laptops which are not domain joined. All Windows computers managed or provided by MERIT are joined to the domain, so this is usually a personally-owned Windows computer.

Requirements

UW NetID

You must have an active NetID to access WCER network printers. If you do not have one, please work with your project PI or Project Manager in submitting a request for a NetID.

GlobalProtect VPN

You must be connected to the GlobalProtect VPN client or to a live Ethernet cable within a School of Education building (Education, Teacher Ed, Ed Sciences). If you do not have the GlobalProtect client installed on your device, you will find instructions here.

Individual Responsibility for Network Security

UWNet users are expected to take reasonable steps to ensure that their computer systems do not create a security risk when connected to the UWNet network. This would include but would not be limited to the following steps:

  • Students, staff and faculty must register their computer on the UWNet network using a campus NetID and password.  Guests of University Housing will be asked to provide registration information when they first access the UWNet network.
  • Run anti-virus software with current virus definitions.
  • Keep operating systems current with the latest patches and service packs offered by the vendor.
  • It is recommended that individual computers are protected by a personal firewall.
  • It is recommended that users perform regular scans for malware using anti-spyware software.
  • Exercise caution when opening e-mail. Never open e-mail attachments without first determining the reliability of the sender. Scan attachments using anti-virus software.
  • Exercise caution when opening instant messages. Never download unsolicited files offered from an unknown sender.

Recent Changes

With the merging of WCER Research IT into MERIT IT last year, it made sense to us that there should be a common printer naming convention as well as a single print server.

Printer Names

Going forward, the MERIT naming convention will dictate how printers are named. The naming convention should also help in identifying where printers are located.

For example, by examining the name SOE-PR-WCER-EdSci242 you can see that it is a WCER printer in the Educational Sciences building, room 242.

Below is a table listing the WCER Ricoh floor printers by Printer Hostname, which consists of the new printer name followed by ".ad.soe.wisc.edu" and their old legacy "city" names.

Printer Hostname (FQDN) Legacy Name
SOE-PR-WCER-EdSci242.ad.soe.wisc.edu London
SOE-PR-WCER-EdSci370.ad.soe.wisc.edu London
SOE-PR-WCER-EdSci464.ad.soe.wisc.edu Florence
SOE-PR-WCER-EdSci576.ad.soe.wisc.edu Omaha
SOE-PR-WCER-EdSci653.ad.soe.wisc.edu Minneapolis
SOE-PR-WCER-EdSciDirOffice.ad.soe.wisc.edu Kitt Peak
SOE-PR-WCER-EdSci964.ad.soe.wisc.edu Edo
SOE-PR-WCER-EdSci1078.ad.soe.wisc.edu Queenstown
SOE-PR-WCER-EdSci1152.ad.soe.wisc.edu Springfield

NOTE: If you already have a WCER network printer added to your computer using it's legacy "city" name it will continue to function normally for the foreseeable future.

Connecting to a WCER Network Printer

Click on the Windows Start menu icon and search for “printer” then select Printers & scanners
from under the "Best match" list when it appears.
Alternatively, the path from the Start menu is:  Settings > Bluetooth & devices > Printers & scanners

Search for the Printers and scanners setting

Click on the Add device button under Printers & scanners

Click on the "Add device" button

Scroll through the list of printers and select Add a new device manually from under "The printer that I want isn't listed".

Click on the "Add device manually" button

Select the radio button for Add a printer using an IP address or hostname then click on the Next button.

Choose "Add a printer using an IP address or hostname"

Enter the following information

  1. Device type: Select TCP/IP Device from the drop-down menu.
  2. Hostname or IP address: Enter wcerprintername.ad.soe.wisc.edu. For printername, enter the name of the printer you are installing.
In our example, SOE-PR-WCER-EdSci464 is the name of the printer so SOE-PR-WCER-EdSci464.ad.soe.wisc.edu was entered.
  3. Port name: This will automatically fill as you enter the hostname. DO NOT change what is completed here.
  4. Check the box for Query the printer and automatically select the driver to use if this is not automatically checked.

Click on the Next button.

Add Printer: Type a printer hostname or IP address

Install the Printer Driver

At this point you are being asked to select the printer manufacturer and printer driver.
If the Ricoh driver is already available, choose Ricoh under the "Manufacturer" list, then choose PCL6 V4 Driver for Universal Print under the "Printers" list.
Click on the Next button

Select the Ricoh printer driver if available

  • Note: If your printer model does not appear, you will first need to click the Windows Update button to update the list of printers. This process may take several minutes.

Click "Windows Update" button if Ricoh driver is not listed

Change the Printer name to a recognizable name, such as "WCER-EdSci464 using hostname".
Click on the Next button. This will install the driver and printer.

Type a printer name

Select the radio button for Do not share this printer.
Click on the Next button.

Do not share this printer

The printer was added successfully.
DO NOT print a test page for any of the Ricoh floor printers. A user code has not been entered yet, so the printer will not let the job through.
Click on the Finish button.

Finish

You should now see the printer you just added in the list of devices under Printers & scanners.

Printer is now listed

The printer is now installed, but print jobs will not make it through until we configure the printer. To do this proceed to the Configure a WCER Network Printer section of this article.

Configuring a WCER Network Printer (User Code)

Before users will be able to print to a Ricoh floor printer, the printer must be properly configured. This involves changing the color mode to Black and White and inserting a 4-digit project user code.
In this example, the Ricoh printer's name is "WCER-EdSci464 using hostname". Substitute your printer's name wherever you see "WCER-EdSci464 using hostname" in the documentation.

Select WCER Florence from the Printers & scanners settings to expose the available settings options.

Choose  Printing preferences from the listed settings options.

Under the "Basic" tab, change the Color Mode to Black and White
NOTE:
Failure to change to black and white results in a .40 per page charge fee, regardless if the document contains color or not.

Also under the "Basic" tab, click on the User Code Setting... button.
Enter your project's 4-digit Print Code (e.g. 1234)
Click on the OK button.

NOTE: Project print codes are generated by the SoE Office of Research & Scholarship team and are given to the PIs of projects. Please contact your PI or Project Manager if you do not know which print code(s) to use.

Click on the OK button to complete the configuration process.
