Student Hourly - How to Hire
This document explains how to hire a student hourly employee.

Overview
Student hourly employment is to help meet the needs of the university, provide university students with financial support in pursuit of their academic goals, and provide opportunities for academic or administrative job experience. The job duties and responsibilities of Student Hourly employees vary greatly and may or may not be related to their field of study.
Key information from the Student Hourly Employees Policy:
- Individuals must be at least 16 years of age and meet all other eligibility requirements defined in the student hourly policy linked below. Individuals under age 16 are not eligible for hire per University policy.
- Student Hourlies must be enrolled for academic credit at an educational institution. An educational institution is defined as:
- an accredited institution of higher learning granting associate degrees or higher;
- a technical college;
- a vocational or trade school; or
- a high school.
Step 1: Recruitment through UW-Madison Student Job Board (skip to step 2 if you have a student you would like to hire)
- Post the position on the Student Job board site: https://studentjobs.wisc.edu/postuw/
- Frequently asked questions for the student job board are at the bottom of the page.
- Questions about the posting (I.e. changing details, the system itself) contact Student Employment at student.employment@finaid.wisc.edu
- Review applicants, interview, select and verbally offer the position to the candidate.
- Inform your HR Generalist about the individual you would like to hire.
Step 2: Gather Basic Info and Send it to Russell HR to request the hire.
Please gather the following information and send it to your Russell Labs HR generalist:
- Use this intake form to collect information.
- Send a copy of student’s course schedule.
Step 3: HR will send appointment email to new hire and cc supervisor
- With information provided above, HR will draft the appointment letter and email it to the individual and CC the supervisor
- Once the individual has returned a signed copy of the appointment letter, HR will proceed with completing the new hire paperwork if required.
