SMPH Guide on Submitting a Flexible Work Arrangement
Considerations
Before creating a flexible work arrangement (FWA) in Workday, employees should have a conversation with their supervisor regarding expectations and equipment.
Any employees engaging in international remote work must have an approved International Business Necessity Request prior to completing a Flexible Work Arrangement.
Submitting a FWA
An employee can only have one active flexible work arrangement per position. If an employee needs to submit a new flexible work arrangement, the previous arrangement must be ended before attempting to submit another.
To request a FWA
- From the Workday Home Page, click on Profile (person icon).
- Click View Profile.
- Click Actions.
- Hover over Job Change, click Request Flexible Work Arrangement.
The Request Flexible Work Arrangement window will appear, enter the required information. Please note:
- Arrangements are on a fiscal year cycle and cannot be longer than 1 year in length.
- Start date is equal to one of the options below:
- Appointment start date
- First day of remote work
- July 1 of the current year.

End date is equal to one of the options below, whichever is sooner:
- Appointment end date
- Last day of remote work
- June 30 of the following year
- Start date is equal to one of the options below:
- If you have multiple positions, select the Position you are requesting the flexible work arrangement for.
- Hours per week should indicate the hours per week you work remotely
- Days per week should indicate the number of days of the week you work remotely
- Days of the week should indicate the days of the week you work remotely (if you have a standard weekly schedule)
Click Submit.
NOTE: Click Save for Later if you would like to save your current progress before exiting the task.
Updating Home Contact Information
- After submitting, check My Tasks, select the Update Home Contact Change Task.
- Click Change My Home Contact Information.
- Confirm that the Address is accurate and has Work From Home selected in the Usage field.
- Optional: Enter an updated Address, select Work From Home in the Usage field, and click the checkmark icon to save the updated information.
- Click Submit.
- Back in My Tasks, click Submit for the Change Home Address To Do step

In-person Attendance Requirements
Employees should indicate the following statement to the Attendance Expectations box.
Attend onsite meetings, trainings, and functions as requested by supervisor.
Onsite and Remote Percentages
These fields must equal 100% and should correspond with the hours/days you input when initiating the FWA.
Indicate the percentage onsite percentage worked in the "Percent Onsite" box.
Indicate the percentage remote percentage worked in the "Percent Remote" box.
E.g. Onsite: 80%; Remote: 20%
Remote Work Equipment
University-owned devices are the preferred access method, which are equipped with malware security tools and VPN. When you use personally-owned equipment, unless your equipment is managed by the university, you must take steps to ensure the use of these devices follows University-established protocols for data security and privacy. Equipment, materials, and supplies for remote work employees will vary based on the position. Equipment provided to remote work employees, and related costs, are determined, approved, and tracked by supervisors or S/C/Ds. All reimbursable expenditures must be identified in flexible work arrangements.
University-Owned Hardware/Equipment:
All department-issued hardware must be listed in the ‘University-Owned Hardware’ box.
All department-issued communication resources must be listed in the 'University-Owned Communication Resource' box.
All department-issued office equipment must be listed in the 'University-Owned Office Equipment' box.
Personally-Owned Hardware:
Select 'Yes' if you will be using a personally owned laptop, PC, or tablets. This does NOT include keyboards, mouse, monitors, etc. This does NOT refer to occasional use of a mobile device.
- If you answer YES to that question, an additional box will populate and you must identify the personally-owned devices in this section. Again, this does not include things like keyboards, mouse, monitors.
Record any known S/C/D reimbursable expenses here:
If you do not have an approved alternative headquarter (HQ) location on file, this field should be 'N/A.'
If you have an approved HQ, please work with your supervisor on known reimbursements and indicate them in this field.
Data and Technology Access
Most employees will minimally need to select public data and internal data. Work with your supervisor to determine if you will work with sensitive data and/or restricted data. See the table below for definitions and examples of each data type.
Type | Definition |
---|---|
Public | Data displayed on web-sites or published without access restrictions; and when the unauthorized disclosure, alteration or destruction of that data would result in little or no risk to the University and its affiliates. |
Internal | Unauthorized disclosure, alteration, loss or destruction of that data could result in some risk to the University, affiliates, or research projects. By default, all Institutional Data that is not explicitly classified as Restricted, Sensitive or Public data should be treated as Internal data. |
Sensitive | Unauthorized disclosure, alteration, loss or destruction of that data could cause a moderate level of risk to the University, affiliates or research projects. Data should be classified as Sensitive if the loss of confidentiality, integrity or availability of the data could have a serious adverse effect on university operations, assets or individuals. |
Restricted | Unauthorized disclosure, alteration, loss or destruction of that data could cause a significant level of risk to the University, affiliates or research projects. Data should be classified as Restricted if protection of the data is required by law or regulation or UW-Madison is required to self-report to the government and/or provide notice to the individual if the data is inappropriately accessed. |

Employees who work with sensitive and/or restricted data must use department-owned hardware per UW Policy UW-526: Endpoint Management and Security.
Using Personally-Owned Hardware to Access Data:
The most common error in Flexible Work Arrangements is answering “Yes” to the following question, when the answer should be “No”. This error will cause your arrangement to be pushed back for modification and may set-off risk flags with the Cybersecurity Office and the Office of Compliance.
- This answer must be NO if you are using department issued equipment to perform your work.
- This answer must be YES if you are using personally-owned equipment to perform your work. The equipment must also be listed in the personally-owned hardware box of the Remote Work Equipment section above.
- Answering YES to this question while working with sensitive and/or restricted data will generate risk flags and delay approval of your arrangement. Please work with your supervisor and department IT to be issued a department-owned device.
- Contact your HR Business Partner before submitting any arrangement that answers YES to this question and/or YES to working with sensitive or restricted data.
Any employee working with restricted data and Protected Health Information (PHI) must agree to limiting the access, transfer, and storage of data to UW approved tools.
Employees who work with sensitive and/or restricted data must use department-owned hardware per UW Policy UW-526: Endpoint Management and Security.
Attestation, Agreement, Signature
Please carefully review all of the information. Employee will need to type their first and last name to sign the agreement under the signature section.
Once you have reviewed and signed the agreement, please click "submit." This will route your FWA to your supervisor for their approval.
