Methods of Access to PHI

The List in a Drawer

Sometimes study teams want to keep name and contact information for future use. The list should contain names and contact information only; it can also include which study the participant is enrolled in. The protocol/application should describe the intent to keep this information, how long it will be kept, and the purpose of keeping this info (e.g., follow-up, future recruitment efforts for related research). Retention of this information doesn't require waiver of documentation or alteration though participants should be informed that their name will be kept. Use of this information would be limited to the study team; it should not be shared with other people on campus. 

As noted in the IM, if the study team intends to keep name and contact information of non-participants for future contact, HIPAA authorization requirements will apply. A request for altered HIPAA authorization should also be requested, if applicable.
