Administrative Support Specialist

The Administrative Support Specialist is an annual, paid student staff position at WSUM Student Radio. The Administrative Support Specialist is responsible for clerical duties pertaining to the General Manager. The Administrative Support Specialist is to conduct his or her duties at WSUM according to its vision, mission and goals. The General Manager Assistant is accountable to the General Manager and – ultimately – the Board of Regents.

RESPONSIBILITIES

  1. Promote WSUM philosophy and services through daily fulfillment of duties;
  2. Assist the General Manager in maintaining the administrative infrastructure;
  3. Develop and maintain connections with on-air personnel and all departments within WSUM to the extent that they have an impact on the General Manager of WSUM;
  4. Maintain frequent interaction and communication with WSUM staff, directors/managers and committee members who affect General Manager-related matters.

STATION OPERATIONS and DUTIES

  1. Actively participate in Student Management and All-Station meetings.
  2. Assist in the establishment, implementation and achievement of WSUM annual goals; the budgetary planning, evaluation of WSUM on-air initiatives and programs.
  3. Serve as a member of the Student Management Board.
  4. Assist in developing and maintaining working relations with the student government, the Department of Life Sciences Communication office and the Friends of Madison Student Radio.
  5. Assist in the annual review of WSUM organizational structure.
  6. Assist in actively promoting cultural diversity and integrity within WSUM and its departments.
  7. If asked by the Station Manager, assist in the recruitment and the selection of WSUM paid student staff.
  8. Uphold the WSUM By-laws and actively participate in the initiation, review and implementation of WSUM Station Manual as well as department policies and procedures.
  9. Actively work to improve General Manager in communication with Station Manager and Program Director and monitor progress..
  10. Carry out those duties assigned by General Manager and/or the Governance Board. If so delegated by the General Manager, the Station Manager may serve as your direct supervisor. A detailed list of daily duties (which often changes) will be provided to you. Generally, the General Manager Assistant is expected to*:
    • fulfill clerical duties everyday;
    • secure and ensure that WSUM cyber security (WSUM network logins, station, building access, and email lists) are current and up to date;
    • ensure that the Public Inspection File is updated quarterly with the most current Program/Issues list as required by FCC rules;
    • complete special projects as assigned by the General Manager or her/his designee;
    • update WSUM Knowledge Base with help of WSUM Executive Staff, General Manager, and Technical Director;
    • help the General Manager in solving internal matters such to and not limited to the financials, maintenance, purchasing supplies, and scheduling appearances;

VALUES AND EXPECTATIONS OF THE POSITION

The General Manager Assistant sets the standards for WSUM on-air Traffic staff. You are expected to set an example, be accessible, and to assist the Station Manager in leading the station forward by creating opportunities for involvement, resolving challenges as they arise, and assisting in strategic planning as to how WSUM can better meet its mission.

The Traffic Director must be committed to WSUM’s core values as expressed in its Mission Statement. In summary:

WSUM will act in a service and outreach capacity for the students of the University of Wisconsin-Madison and people of Madison and surrounding communities. The Traffic Director shall support and assist the student staff in the development of strong ties to these communities.
  • WSUM will provide an educational environment and valuable hands-on experience.

The Traffic Director will support the General Manager and Station Manager in efforts to establish curricular connections. Overall, the Traffic Director will support the educational needs and goals of students in an environment where curricular, co-curricular and extra­curricular student learning is valued. She or he will take part in training, if requested.

  • WSUM will also provide an alternative source of music and information programming to the campus and community. The Traffic Director is expected to provide support the on-air staff by helping to produce on-air announcements (e.g., PSAs, show promos, bumpers, etc.).

The WSUM General Manger Assistant is an appointed position, at the discretion of the General Manager and Station Manager. The appointee must be confirmed by the Governance Board, which only overrides that choice in extreme cases. He or she can work as a Traffic Director prior to confirmation. WSUM seeks candidates with strong attention-to-detail, willingness to take direction, demonstrated dedication to the WSUM mission, and who are dependable. TIME COMMITMENT

The General Manager Assistant position is a both a supervisory and clerical position that requires the staff person to be available for a variety of hours during the week, some at night and some on weekends. Being available to students is a critical element in the successful performance of the position’s responsibilities. Participation in all-station and student management meetings is required throughout the calendar year. It is paid on an hourly basis. Each Traffic Director position is a commitment to 6 hours per week, 48 weeks, with a 8HR.Day limit. The actual work hours are determined by mutual agreement between the traffic director and the General Manager or his designee. Traffic Directors (including subs) work a set schedule of hours. In no case may a Traffic Director work more than 40 hours per week or over the annual allotment of hours for that position.

SELECTION TIMELINE

Applications are accepted approximately a month or more prior to onset. General Manager Assistant candidates are interviewed by the General Manager and Station Manager. The selected candidates take office as early as the first day of January or July (whichever is applicable) or at some other mutually agreeable time.
