Cloudability - Accessing Cloudability
Access Requirements

UW NetID / Entra ID account – You must have an active UW–Madison Entra ID identity. This is the same NetID that you use to access UW-Madison AWS or UW-Madison Microsoft 365.

Initial Cloudability access – The DoIT Public Cloud Team must add you to Cloudability the first time.

Department Entra ID group membership – After initial access, your department controls access through Entra ID groups that sync into Cloudability.
How to Log In

Go to the Cloudability login page:

Sign in with your netid@wisc.edu (first.last will not work)

Authenticate with your UW NetID if prompted

After login, you should land on the Cloudability home dashboard.

In the top right select the drop down where it says current view and choose an account id to see a specific account or billing customer id to see all accounts that use it

First-Time Access Process
If you have never used Cloudability before, you will still be able to login but will not see any views in the drop down. This means the cloud account you are trying to view is not in Cloudability yet or you are not in a group that grants access to view an account or billing customer id.

If one of your coworkers is able to see the account and/or billing customer id in Cloudability please have them see the section below Managing access to Cloudability
- If you don't know anyone who has access or don't think account is added to Cloudability yet send an email to cloud-services@cio.wisc.edu

Include:

The cloud account(s) / billing customer ID(s) you support
- Request that we add the accounts to Cloudability

The Cloud Team will confirm with the owner of the account if needed and create the view and grant access and contact you once completed.
Managing access to Cloudability
After the account and billing customer ID is added to Cloudability. You can manage access via Entra ID groups.

To add or remove a user from an account sign into Azure using https://portal.azure.com/#view/Microsoft_AAD_IAM/GroupsList.ReactView

The link takes you to the groups list, search cloudability-<account id> to see the groups that give access to the account

- Each account has a users, finance, and executive group created this is only to separate the users for organization where users are the account users, finance is the financial contact for the account, and executive is someone like a director, dean. Each group grants the same permissions in Cloudability. You only need to add a user to one of these groups to give them access to the account.

Click into the group you want to add or remove a user in the left navigation bar select manage and then Members

- To add a user click Add members in the top and then search for the user in the pane that pops up select them and then click select in the bottom

- To remove a member click on the check box next to the user(s) you want to remove and then click remove

- To add a user click Add members in the top and then search for the user in the pane that pops up select them and then click select in the bottom
- To manage these groups you must be an owner of the group by default the owner of the group is the owner of the cloud account and technical contact.
- If you need owner access to a group please email cloud-services@cio.wisc.edu
- And list the groups you are requesting to be an owner of.
Troubleshooting

I can log in, but don’t see my department view(s)
Confirm you are in the correct Entra ID group. If you were just added, allow 24 hours for the group sync

I see the wrong data
You may be in a view for a different billing customer ID. Verify group membership and which views are shared to that group.
