Memorial Library Room 126 - Instructions & Troubleshooting

This KB provides basic connection information and basic troubleshooting steps for the technology in Memorial Library Room 126.

General

Please refer to the "Memorial Room 126" section of this page for more information about the purpose of the space as well as guidelines for use.

Ceiling light switches are located by the door to the left of the podium when facing the audience.

The Crestron podium panel is used to control the ceiling-mounted projectors and their input sources (i.e., PC, laptop, and wireless) along with in-ceiling speaker volume.  You can also use the Crestron panel on the podium to control the room's lights, shades, and projector screen.

To record audio / video of a meeting, you must use the podium desktop computer and one or more of the following microphones: podium mic, handheld mic, lavalier mic.  It is recommended you use the campus-supported Kaltura MediaSpace system for your recording.  Please refer to this KB (Kaltura - Overview [UW-Madison]) and this KB ([Link for document 18490 is unavailable at this time]) for additional information.

You should never have to use the remote control for the ceiling-mounted projector; if the projector isn't working, please reach out to the Library Technology Group (LTG) Help Desk.

A conference phone system in the room can be used for voice-only calls.  Its number is (608) 262-2735.


Instructions

Project Using the Podium Desktop Computer

  1. Move the mouse or press an arrow key on the keyboard to wake the display if it's off.
  2. On the Crestron podium panel, press the following buttons:
    1. ON
      • This turns on both ceiling-mounted projectors.
    2. PC
      • This tells both projectors to project the content displayed on the podium desktop computer.
        • To project to just the left projector or right projector, press either the "send to left projector" button or the "send to right projector" button.
      • You might need to wait a minute for each projector to warm up before anything is displayed.

Project Using a Laptop (Wired)

  1. Plug either the HDMI cable or both the VGA cable and 3.5mm audio cable into your laptop.
  2. On the Crestron podium panel, press the following buttons:
    1. ON
      • This turns on both ceiling-mounted projectors.
    2. LAPTOP
      • This tells both projectors to project the content displayed on your laptop computer.
        • To project to just the left projector or right projector, press either the "send to left projector" button or the "send to right projector" button.
      • You might need to wait a minute for each projector to warm up before anything is displayed.

Project Using a Smartphone / Tablet / Laptop (Wireless)

  1. On the Crestron podium panel, press the following buttons:
    1. ON
      • This turns on both ceiling-mounted projectors.
    2. WIRELESS
      • This tells both projectors to project the content shared wirelessly via your laptop / smartphone / tablet.
        • To project to just the left projector or right projector, press either the "send to left projector" button or the "send to right projector" button.
      • You might need to wait a minute for each projector to warm up before anything is displayed.
  2. Follow the projected instructions to connect via one of the two Mersive Solstice pods in the room, which will require an application be downloaded to your laptop / smartphone / tablet.

When You Are Done

  1. On the Crestron podium panel, press the following button
    1. OFF
      • This turns off both ceiling-mounted projectors.
  2. If you had been using the podium desktop computer, please close any open applications; you do not need to sign out / restart / shut down the podium desktop computer.

The podium desktop computer's display will enter power saving mode after a brief period of time; you to not need to power off the display.


Troubleshooting

Podium Microphone

If there are problems with the podium microphone, unplug the "USB Microphone" box located in the back right of the podium cabinet, then restart the Windows computer.

There should now be an "Echo Cancelling Speakerphone" entry in the Recording tab of the Sound preferences pane in Windows (Control Panel > Sound > Recording).
