Using the Linkcheck Tool
The Link Check tool will determine if a self-link will succeed, or what information needs to be updated before a successful link can take place. Additionally, the tool will determine which source (Human Resources, Registrar's Office, etc) should generate the self-link key.

Note:
Only HDQA and HDL2 staff are able to access the Linkcheck Tool.
Note: This tool should ONLY be used to troubleshoot Account Self-link failures. This tool assumes the two records being compared are the same person and will always provide necessary steps to make the records match.

Enter the NetID and PVI found in the description and click Submit. Be sure that the NetID and the PVI are not entered under the same user.

The results will notify you of the main issue, and what the user will need to do in order to combine the records.
Some additional information includes the source systems that are compared, along with the matching demographic information and source systems the records are associated with.
This section shows the sources of the data that were compared as well as the unique identifier for the user record (e.g. HRS EmplID, SIS EmplID) and which PVI it is tied to.
These sections show which demographic data are matches and which differ between both source systems. Data may include First Name, Middle Name, Last Name, Date of Birth, and Gender.
This section shows if there is an active NetID associated with the record and which source system it is tied to.

Some common issues reported by the tool that can be relayed to the user:
Note: If ANY TECHNICAL ERRORS occur when using the Linkcheck tool to compare 2 PVIs, escalate the case to IAM as an Account Link Issue.

Activate NetID
The records compared do not have any active NetIDs associated with them. User should have at least one active NetID in cases where they would have to use Self link to link their records.
Different Identities
The records compared do not have enough matching demographic information (First Name, Middle Name, Last Name, Date of Birth, and Gender) to suggest that they belong to the same individual.
If there is a strong possibility that the records do indeed belong to the same individual despite this result, then the user should verify and update all of their demographic information in the Source Systems where the information was checked.
Fix Data
The records compared have some demographic information that do not match between the Source Systems compared. The mismatched information will be listed in the 'Differing Demographic Information' section. User will need to verify and update their information in the Source Systems.

User will need to go to Manifest and update their personal details. MANIFEST - UPDATE SPEC POP NETID PERSONAL DETAILS
Multiple NetIDs
User has two active NetIDs associated with each PVI. User will need to verify ownership of both NetIDs and then we will need to consolidate their NetIDs and link their records so that they are able to access all services with a single NetID.

Self Link
The records compared have enough matching demographic information to suggest that they might belong to the same individual. User will be able to link their records using the Self link tool.
In order to use the Self link tool, the user will need to get a Self link Key from the Source System that does not have an associated NetID. Self Link keys can only be generated by Source Systems as they have authority over the data.

User will need to go through the enrollment process for the Division of Continuing Studies and state that they already have a NetID with UW Madison.UW Madison Special Population - Manifest:
User will need to go through the NetID Activation module for the Manifest NetID and state that they already have a NetID with UW Madison.

SSN Update
User has an SSN but it is not the same or is not present in all of the Source Systems. User will need to make sure that all Source Systems concerned has their up to date SSN information.
