April 2011 - KB Meeting Minutes for April 29, 2011

1. New pilot sites:

   Lot of new colleges (some CIC) interested in setting up KB partner sites. These were demo'd last month:

   • Hobart and William Smith Colleges - New York
   • John Marshall Law School - Chicago
   
   
2. Improvements implemented since last monthly meeting
   • Expandable sections on draft and news edit screens

     In an attempt to declutter the KB doc editor screen, a number of lesser used fields have been combined into the following expandable/collapsible sections: Other Notes, Other Sites, Additional Fields.

     • Other Notes

       Internal Note and MyGroupNote are now in the Other Notes expandable section.

     • Other Sites

       Sites that you could share with but are currently unchecked are listed in a collapsed version of the Other Sites section. When expanded all available sites will be visible and available for selection. By default you will only see your own site or checked sites.

     • Additional Fields

       The following fields are now in the Additional Fields expandable section: WriteAccess, Owner, CampusAccess, Notification, FeedbackTo

   • Never expire option

     Adding document level never expire option for documents, like meeting minutes, that are for archival purposes and don't really expire. Next to the Expiration field on the document editor there is now a "Never" link. Click the never link and the Expiration field is populated with 3000-01-01. Click Never again and the Expiration date reverts back to the date that was in the Expiration field.

   • Minor change site preference

     The Minor Change check box (which allows doc authors to bypass the review/re-activation process when making simple changes to a document) has been moved to the Additional Fields expandable section. KB Administrators can decide whether the Minor Change checkbox will be checked by default by selecting the appropriate option on the SitePrefs tab > Other Options link > Draft minor change default.

   • Multi-purpose FeedbackTo field

     The following options will be pulled out of the FeedbackTo field and be made into a section of checkboxes contained in the Additional Fields expandable section.

     • No reminder - now at the doc level can turn off review reminders for documents that don't need to be reviewed like meeting minutes.
     • No blog - can turn off the blogging option (no one using this yet)
     • Disable comments - if this is checked "I have feedback" will not be displayed at the bottom of the document.
     • HTML only - locks the editor for a doc with java scripting or other things that get weird in the WYSIWYG editor. A document with HTML only set can only be opened with the HTML editor.
   
   
3. Proposed and on-going improvements
   • overLib (JS library for tooltip boxes)
     • http://www.bosrup.com/web/overlib/
     • Jon C. requested this.
     • Problem - does not conform with accessibility standards.
     • Jon M has another way to do this in Middleware doc 1515
     • Need to look at CSS to see why Jon M's tooltips aren’t being underlined.
     
     
   • Metadata custom tags (Activation Date, Activated by, creation date, update date, updater, version #, etc) - Ben M-K wants to add ability to put KB Doc info in a KB Doc. For example ICTR doc 17688 Standard Operating Procedures document.
     
     
   • New default css - in progress, styled to conform to UW standards
     
     
   • Recent content (newly added to the KB by other groups)
     • This may need to be an ongoing discussion
     • How to share does between groups and campuses
     • How to discover docs that other groups are working on
     • Turning functionality on to beta test it
     
     
   • Public share content (suitable for sharing among institutions / groups)
     • This may need to be an ongoing discussion
     • Deb (CAE): does not want to share external CAE docs since they are pretty specific to CAE customers and doesn't want to provide support to the entire world.
     • Ara: how does this differ from already sharing docs with kb.wisc.edu?
     • Sean: if we do create a sharing notification email make it a SitePref as to whether the message goes to admin or owner.
     
     
   • Mobile phone friendly version
   
   
4. Other
   • Union South conference room reservation - because of the AV costs we are going to stick with Comp Sci meeting space for now.
