WebCheckout - How to Make and Manage Reservations

How to make and manage reservations in Webcheckout's patron portal.

How to Make Reservations in Webcheckout:

  • Login to the patron portal. Link: https://uwmadison.webcheckout.net/sso/patron#!/

  • Click on “New Reservation”.

  • Select the location, also known as the “Checkout Center” from the drop down menu. Then click on “OK”.

  • Read and then click "Dismiss" the "Message of the Day".
  • Click on the “Browse Catalog” to add an item to the reservation.

  • Click into a category type of item. Then click into the type of item you would like. 

    • This image shows off the different subtypes the patron portal offers.
  • The little calendar icon (also known as the “Timeline”) can be used to see other upcoming reservations.

    • Please note this is for viewing only. The little calendar shows a timeline for only that specific item.

      • Here is an example of the "Timeline" icon. It looks like a little calendar.
  • Click on the little green shopping cart icon when you are ready to add that item to your cart.

    • Note, the icon will turn red with a little “x” on it to indicate it is in your cart. You can click that 'x' to remove the item from your cart if desired.

  • Click on the “Return to Reservation” button in the bottom right corner once all desired items are in your cart. Please note you might have to scroll down.

  • Change the time of the reservation by clicking on the starting and ending time. Once satisfied, click on the green check-mark on the right hand side of the screen.

  • At the bottom right of the screen there will be a box that says “Submit Changes”, click on that to submit the reservation.

  • To confirm the reservation went though, look for one at least one of these options:

    • 1) See the green banner that pops up in the top right corner that says “Reservation Confirmed”.
    • 2) Check your email for a summary.
    • 3) Check for the reservation in the Patron Portal. Click the “Home” Tab and look under “Upcoming Reservations”.

How to Edit an Upcoming Reservation in WebCheckout:

  • Login to the patron portal. Link: https://uwmadison.webcheckout.net/sso/patron#!/
  • Click into the “CK-xxxx” for the reservation under “Upcoming Reservations”.

  • Click on “Edit CK-xxxx” under the “Actions” tab on the left hand side of the screen.

    • Click on "Edit CK".
  • From here you are able to edit the start time, end time, and items included with the reservation just like when the reservation was made.

  • Once the changes have been made click on “Submit Changes”. To confirm the reservation’s change went through, look for one of these options:

    • 1) See the green banner that pops up in the top right corner that says “Reservation Confirmed”. 

    • 2) Check your email for a summary. Check for the reservation in the Patron Portal. 

    • 3) Click the “Home” Tab and look under “Upcoming Reservations”.

To Cancel an Upcoming Reservation in WebCheckout:

  • Login to the patron portal. Link: https://uwmadison.webcheckout.net/sso/patron#!/ 

  • Click into the “CK-xxxx” for the reservation under “Upcoming Reservations”.

  • Click on “Cancel CK-xxxx”

    • Click "Cancel CK-"
  • Click on “Yes” to confirm you would like to cancel the reservation.

    • Click "Yes" to cancel the reservation.

General Reservation Policies: 

Early Pickup:

Reservations may be picked up early if:

  • It is the start date of the reservation.

  • The item is available (in stock/ returned by previous patron).

  • Early pickup will not extend the reservation over the 7 day maximum.

    •  To inquire about an early pickup, calling or visiting the technology circulation desk to ask about availability is recommended. We can not guarantee that items will be available for early pickup.

Reservation Extension/Renewals:

  • Reservations can be made for a maximum of 7 days. Reservations can be edited up to the 7 day maximum if the item is available. Edits can be done through the WebCheckout patron portal or at the technology circulation desk.

Waiting Period:

  • There is a one (1) week waiting period required between reservations for the same resource type. The WebCheckout patron portal automatically enforces this policy with the error message “reservationWaitingPeriodNotMet”. This policy is in place to increase the availability of reserve items to all patrons.
