WebCheckout - How to Handle Errors During a Renewal in the Patron Portal

How to solve errors during a renewal on the WebCheckout Patron Portal.

What an Error Looks Like

If there is an error with your renewal, a red bar will appear across the screen and prevent you from saving the renewal. You can click the drop down arrow next to "Reservation has errors" at the top for more information on the specific error. See below for an explanation of each error as well as steps to fix it.

Max Renewals/Max. Checkout/Reserve

This error may appear when a patron either a) has reached the maximum number of renewals per semester for that item type or b) attempts to renew a nonrenewable item.

  • iPads and all reserve items are nonrenewable.
  • Laptops may be renewed for up to 105 days per semester (14 renewals).
  • All other non-reserve equipment (cameras, chargers, projectors, etc.) may be renewed for up to 70 days per semester (9 renewals).

This error cannot be resolved and the item must be returned to prevent overdue penalties. Contact technologycirculation@library.wisc.edu with any questions or concerns

Max Renewal Time Exceeded

This error will appear when a patron attempts to renew an item more than 7 days at a time. To resolve this error, change the return time to 7 days from the current return date. The length of the renewal may be less than 7 days.

  • Ex: If an item is currently due back on the 10th, the longest it can be renewed for at once is until the 17th.

Closed at Return Time

This error will appear when the return time is set to a date or time when a location is closed. To resolve this error, switch the return time to a date and time that the checkout location is open. Click on the “Centers Calendar” button on the left side to view the location’s hours

Outstanding Fines/Late Equipment/Patron Has Hold

This error occurs when a patron has an overdue item from any of the InfoLabs, or has been overdue with an item in the past and their hold has not ended yet. To resolve this error, return the overdue item to the library from which it was checked out, and wait the required amount of time for the hold to end.

  • The length of time that a hold will last once the item is returned depends on how long the item was overdue. For more information, see our full overdue policy: InfoLabs Overdue Equipment Policy

An overdue item that has not yet been returned will appear with a red clock icon next to it under the current checkouts tab, as shown below. Items overdue for longer than 24 hours cannot be renewed. There will be no button to renew the item. It must be returned as soon as possible to avoid further penalties.

Once an overdue item has been returned, it will not appear under current checkouts. However, the hold preventing a patron from renewing other equipment or from checking out new equipment will remain until its end time (determined by how long the item was overdue). It is possible to check whether the hold is still active by viewing the “Billing” tab on the far left side.

Where to find the billing tab on the patron portal.

A number icon will appear on this tab if there is an active hold on a patron’s account. The hold is tracked by an invoice. Clicking into the billing tab will show the invoice(s). To see which overdue item is causing the hold/invoice, click on the CK-####.

To find which checkout has the overdue click in to the allocation (CK-#####) number.

Clicking on the CK-#### will bring you to the checkout page for the overdue item. It is possible to calculate when the hold/invoice will be automatically removed based on how long the item was overdue. See the overdue item KB for more information: InfoLabs Overdue Equipment Policy

Other Errors/Oddities

There is no button to renew a checkout. What do I do? 

  • If no renew button appears when viewing a checkout, the item is likely overdue and can no longer be renewed. To resolve this issue, return the item to the library from which it was checked out as soon as possible, or email technologycirculation@library.wisc.edu.
  • This is an example of what the patron portal will look like with no renew button.

Alert appears when attempting to make a reservation. What do I do?

  • If an alert box appears when attempting to make a reservation, it is likely because the patron has an overdue item or has a hold on their account due to a previously overdue item. See the section on “Outstanding fines/Late equipment/Patron has hold,” or our full overdue policy (InfoLabs Overdue Equipment Policy, for more information.
  • This is the alert that would pop up when someone had an overdue item or hold while trying to make a reservation on the patron portal.
