Microsoft 365 - Service account expiration notifications and renewal

Beginning January 5, 2025, all UW-Madison Microsoft 365 Service Accounts have an expiration date and will require yearly renewal to demonstrate that the account is still in use. This document describes the email notification that you can expect to receive and the steps to take if you want to renew the account. All renewal options require that you authenticate with your NetID credentials. This prevents unauthorized people from renewing accounts. It is important that you validate that the links you are following are to legitimate UW-Madison websites before entering your NetID credentials. Example Email Notification

Below is the standard account expiration email notification. Domain Administrators or Authorized Administrators may also add custom text to the message. Customized messages will appear above the “Options to Renew” section.

Subject: Microsoft 365 service account, testaccount_mailplus@wisc.edu, expires on 1/5/2027

Hello, 
The following Microsoft 365 service account is scheduled to expire. If the account is not renewed by January 5, 2027, it will be deleted.

If you still need this account, you can renew it in several ways. You will be required to authenticate using NetID Login, but if you have already logged into another campus service, you won't need to authenticate again.
Options to Renew:

1. Use the Mailbox ID and Renewal token shown above to renew via our web form: https://email.wisc.edu/renew
2. Follow the renewal direct link shown below.
3. Authorized Administrators and Domain Administrators can renew from the Wisc Account Administration site: https://email.wisc.edu/account-admin/

Renew using the Mailbox ID and Renewal token

The Mailbox ID and Renewal token included in the email notification can be used to renew the account by navigating to https://email.wisc.edu/renew. There will be text boxes where you can enter the corresponding values. Once submitted you will be redirected to a page that confirms that the account has been successfully renewed and displays the next expiration date.

Renew using the direct link

At the bottom of the email there is a direct link to renew the service account. The direct link will renew the account without requiring the intermediary step of entering the Mailbox ID and Renewal token into a web form.

Please make sure that the URL you are clicking starts with "https://email.wisc.edu." You will be required to login with your NetID if you have not already authenticated to another UW-Madison service in your browser.

Renew from the Wisc Account Administration site

Only Authorized Administrators for the expiring service account or Domain Administrators can renew the account from the Wisc Account Administration site.

Steps to renew:
  • Log into the Wisc Account Administration site.
  • Enter the service account mailbox or any alternate email address in the search bar in the upper right.
  • Click on Account Administration from the left navigation menu.
  • Click on Renewal from the left navigation menu.
  • The Renewal page will include a “Renew Account” button if the account is expiring in less than 6 months. Click this to renew the account and reset the expiration date.
