SIS - Dean's Drop(s) Request

This document explains the Dean’s Drop/Withdrawal Request page and how to submit Dean’s Drop to drop a class(es).

This information is meant to serve as an overview of SIS functions. Review your School or College’s internal policies to determine the information to populate in SIS. If you want to drop all classes, review our website to confirm if you should be canceling enrollment or submitting a term withdrawal

Drop Dates and Deadlines

Students can use Course Search & Enroll to drop their section/course(s) until the drop deadline. If a student drops a course/section using Course Search & Enroll, the Dean’s Drop/Withdrawal Request page in SIS will show the dropped course/section and date for that student.

The deadline for students to drop a course without academic dean permission is later in the session. To see session dates, drop deadline dates, and tuition refund percentages, review the Dates & Deadlines page on our website.

To drop a class(es) and/or adjust tuition refund and/or transcript notations, follow the steps below. The course/section will not be in "Dropped" Status or updated until theOffice of the Registrar processes the request.


Steps to Submit Dean’s Drop(s)

  1. Log in to SIS.

  2. Select the Student Records WorkCenter tile | Dean/Dept Processing tab | Dean’s Drop/Withdrawal Request

  3. Make sure the “Withdraw Student from Term?” box is unchecked

  4. Find the class you want to adjust
    • Note: Only the class’ graded component will display adjustment fields
  5. Fill in the "Transcript Date" with the drop date your office determined appropriate. The date should be within the Session begin and end date of the class.
    • Note: If you are dropping all class session before the start of the term and class sessions to cancel enrollment, the date must also be before the start of semester. A warning box will pop up; if you are sure that you are canceling a student's enrollment, you can ignore this box and continue.
  6. Press "Tab" and the "Refund %" fills automatically with the refund percent based on the "Transcript Date."
  7. If you want to change the "Refund %:"
    • Check the "Override %" box.
    • Select the desired "Refund %."

    • Note: Based on the session, only valid refund percentages display. If you need to make a tuition adjustment for terms prior to Summer 1999, contact the Office of the Registrar.
  8. Select "Save." 

If the Status is already "Dropped," the Process Status changes to "Completed" and displays the date/time/name.

If the Section Status is "Enrolled," the Process Status changes to "Submitted" with the date/time/name. The Office of the Registrar will process, then the Status changes to "Dropped" and the Process Status will change to "Completed" and display a new date/time/name.


Frequently Asked Questions (FAQ)

I made a mistake. Can I change my drop request if it’s still in “Submitted” status?

If you submitted an incorrect drop that is still in the Status of "Enrolled" and Process Status of "Submitted," you can rescind your request. Select the trash icon and then "Save." The Process Status will change to "Rescinded." The Transcript Date and Refund % will remain displayed, but the request will not be processed.

Can I change my drop request if it is in “Rescinded” status?

If you need to change a request that is in the Process Status of "Rescinded," change the Transcript Date to a different date to activate the save button. Then change the Transcript Date and/or Refund % as needed and select "Save" to submit again.

When will the student get their refund?

If a refund was triggered, the account change will appear in MyUW within 48 hours. The Bursar's Office has additional details on their refunds website.

What will the student's transcript look like if I drop all the student’s classes before the start of the term?

When using the Dean’s Drop to drop all classes before the earliest session in the term begins, neither the term nor individual classes display on the student’s transcript.

What will the student’s transcript look like after the Dean’s Drop is in “Completed” status?

If the Transcript Date is on or before the Drop/Withdrawal (DR/W) deadline, then the official and unofficial transcript displays nothing; the class is not listed on the transcript.

If the Transcript Date is after the Drop/Withdrawal (DR/W) deadline, then the official and unofficial transcript displays the class with the dropped date as the Transcript Date.

I submitted Dean’s Drops to cancel a student's enrollment before the start of the term and class sessions, but now I see no request?

Once processed by the Office of the Registrar, the class(es) will no longer display since it is before the start of the term. If a refund was triggered, the account change will appear in MyUW within 48 hours.
