SIS - Dean's Drop / Withdrawal Request Overview

This document explains when to use the Dean’s Drop/Withdrawal Request page.

Overview

This information is meant to serve as an overview of SIS functions. Review your School or College’s internal policies to determine the information to populate in SIS.

What is the Dean’s Drop/Withdrawal Request page?

The Dean’s Drop/Withdrawal Request page displays a table that contains all class section drops starting from the first day of the term. Dropped classes are located at the top, followed by all enrolled class sections.

The Dean’s Drop/Withdrawal Request page in SIS allows dean's offices to:

  • Review, approve, or deny a student requested term withdrawal;
  • Adjust the drop date on the transcript or refund percent on a previously dropped class;
  • Drop individual classes for a student after the drop deadline; and
  • Term Withdraw a student from all enrolled/waitlisted classes for current/previous term.

There are two functions of the Dean’s Drop/Withdrawal Request page:

  1. The “Withdraw Student from Term” function allows you to:
    • Review and “Approve” or “Decline” an initial Term Withdraw request submitted by a student;
    • Submit and “Approve” an initial Term Withdrawal request on behalf of the student; and
    • If you have not yet approved a withdrawal, adjust and edit the last date of attendance, reason code, and tuition refund amount within the Term Withdraw request.
  2. The “Drop Individual Classes” function allows you to:
    • Drop specific class(es) on behalf of the student;
    • Drop all classes before the session starts (also known as canceling enrollment) on behalf of the student; and
    • Adjust transcript date or refund amount of previous class drop.

Withdrawal or Dean’s Drop?

  • Use Term Withdrawal if:
    • Dropping all classes in the term, and the term and class session(s) are current or past. 
  • Use Dean's Drop if:
    • Dropping all classes in the term when the term and class session(s) are future.
    • Dropping some, but not all, class(es) and when the term and class session are current or past.

Enrollment Detail Summary Report

The Enrollment Detail Summary report displays a student’s Waitlisted, Enrolled, and Dropped (if dropped after the first day of the class session) courses. The Add Date, Drop Date, and Transcript Date are also displayed. You can navigate to the Enrollment Detail Summary from your Student Records WorkCenter tile, in the Student Acad Info tab under Queries or by following these directions.
