Cisco Room Kit Accessibility and Usability Information

This document summarizes the accessibility and usability barriers for the Cisco Room Kits. The Room Kits are physical video/audio kits provided in conference rooms throughout campus to support hybrid meetings. The devices support Webex, Teams, Zoom and Google Meet.

The following information is provided to help people with disabilities know what potential barriers may exist.

Screen reader is not configured on all Room Kits

A screen reader is available for the Room Kit tablets, but has not been deployed in all conference rooms. Contact your local IT department to have the screen reader configured in conference rooms in your area.

No captioning control from Room Kit

Cisco Room Kits do not control captioning at this time, on the tablet or using voice control. Turn on captioning using the web app on your computer for the web conferencing system you are using for this meeting. 

Voice control limitations

Cisco Room Kits support voice commands using Webex Assistant for some hybrid meeting functions. You can start using Webex Assistant by saying, “OK Webex...” and your command. 

The following section describes barriers to use with voice commands that particularly impact blind and low vision users. In most cases, you can use the desktop or web app for the conferencing platform you're using to access these functions. 

Limited ability to join meetings

The conference room must have an Outlook calendar and be invited to the meeting to be able to join the meeting with voice control.

Limited microphone control

A user can mute their microphone using Webex Assistant, but they are unable to unmute using voice command because the mic is muted. Additionally, there is no auditory confirmation when the mic is muted to alert people who are blind or have low vision that the mic is muted. The microphone must be unmuted using a button on the tablet located in the room.

No camera control

Webex Assistant cannot control whether the room camera is on or off. Control the camera using the web conferencing app on your computer. 

Volume control

Webex Assistant can control volume, as well as muting or unmuting output audio, but doesn’t indicate with an auditory confirmation that volume has increased, decreased, or muted. This can be uncomfortable for all users and make it difficult for people with visual disabilities to troubleshoot audio issues.

Video preview

Cisco Room Kit can enable video preview on screen, but provides no auditory cue that it is doing so. This can make it difficult for people with visual disabilities to troubleshoot video issues.
