5th Floor Video Conference Room Guide

This document is meant to inform and guide users in how to use the video conferencing equipment in WCER's 5th floor huddle and meeting rooms.
  • Overview
    • WCER’s 5th floor huddle rooms and meeting spaces are equipped with:
      • High Definition Television display
      • Windows PC with wireless mouse and keyboard and network/Interent connection.
      • Polycom video conferencing camera with advanced microphones and wide-angle lenses which pan and zoom automatically as participants in the room speak.
      • Conference phone


  • Controls
    • Within each room, there is a control panel located on the wall about the size of a typical lightswitch plate which turns the television display on and off, allows volume adjustment, and the choice of using the room’s built-in Windows PC or a laptop. 5th floor wall controls

  • Using the Room PC
    • 1) Press the ON button and wait for it to stop blinking if the display was previously OFF.

      2) Press the PC button from the right-hand column of buttons.

      3) Using the wireless keyboard and mouse, sign in with your WCER/SoE domain credentials.

      4) Use the PC however you wish (Zoom, Teams, etc.)

      When finished with your meeting, please:

      • Sign out of the PC
      • Press the OFF button on the control panel.

  • Using a Laptop
    • 1) Press the ON button and wait for it to stop blinking if the display was previously OFF.

      2) Press the LAPTOP button from the right-hand column of buttons.

      3) Connect the HDMI and USB cables to your laptop.

      NOTE: There are adapters tethered to the laptop cables in each room which will allow connection to laptops with newer USB (type-C) or Mini DisplayPort connections if needed.

      IMPORTANT: Unless you connect the USB cable to your laptop, either directly or via the tethered adapter, the Polycom webcam will not be available to use on your laptop.

      4) Use the laptop however you wish (Zoom, Teams, etc.)

      BE AWARE: You may need to switch device settings of the video conferencing application you are using from the laptop’s built-in video and audio to Polycom.

      When finished with your meeting, please:

      • Press the OFF button on the control panel.
