Microsoft 365 - OneDrive Storage Quota Increase Request

In response to Microsoft ending unlimited storage, UW-Madison is implemented a new OneDrive quota system on April 16, 2026. This project aims to moderate storage growth, manage future costs, and ensure long-term service sustainability while minimizing campus impact. This is a management effort, not a storage reduction project; existing accounts will be tiered to avoid service disruption.

This is not a storage reduction change. The quota implementation will require no immediate action on behalf of users.

How can I prepare for this change?

Although this project does not require you to reduce your storage, you can still optimize your usage by doing the following:

  • Check Your Storage: Review your current usage.

  • Understand Usage: Learn what uses OneDrive storage.

  • Clean Up Files: Remove duplicates, archive old or obsolete files, or move large datasets to approved long-term alternatives.

What is the Maximum Storage that can have?

2TB

I am currently using more than 500 GB. Do I need to do anything?

No. If needed, you can request more storage once the request form is available. Please note, requests for more than 500 GB will need to be manually reviewed to ensure usage is for University-related work (Research, Instruction, or Administration). 

Will my files be deleted if I am over the new 25 GB limit?

No. The change is not a storage-reduction project. For existing users, your quota will be set to a tier that accommodates your current data plus a buffer. 

Does this affect my email, SharePoint sites, or other services?

No. This roll out focuses on OneDrive for Business storage. While SharePoint and email draw from the same Microsoft "pooled" storage, their quota management policies are handled separately.

What happens if I am a new student or employee after April 16?

All new Microsoft 365 accounts created after the go-live date will receive the default 25 GB OneDrive quota. If a higher limit is needed for your role or studies, you can request additional storage using our request form.

I requested more storage but I am capped at 100GB of OneDrive storage. Why?

Your account is not eligible for additional OneDrive storage. View OneDrive for Business eligibility. If you believe your account is eligible for more storage, please contact the DoIT Help Desk

Can I request more storage for a different user?

No. You can only request more OneDrive storage for your NetID. 

 If I currently have less than 500GB and I need more than 1TB, what should I do?

If you are looking for more than 1TB added to your OneDrive storing less than 500GB, please contact DoIT Help Desk with the following information;

  • How much additional storage you are requesting
  • Reason for the additional storage 
  • Any additional information
