WiscIT - Guidelines for Request Offering Development

When to develop in production WiscIT

Simple changes to the existing request offering details, form, or permissions are easily accomplished directly in Production. If you know the changes you are going to make and are confident that they can be easily implemented, it is safe to implement them in prod.

Workflows on Request Offerings are almost always locked in WiscIT's Production environment; changes to workflows cannot be made direclty in prod.

When to develop in non-production WiscIT

It is recommended to develop in our Staging environment when:

• A simple change is required but you aren't confident in how to implement it. Make the change in staging, test and tweak it until it is working as expected. Then re-make the simple change in Production.

• A new Request Offering is being created. Create the Request Offering, test it and once complete import it into Production.

• Workflow changes are required. Workflows typically cannot be updated directly in Production WiscIT. Make the workflow updates in staging, test them, then import the request offering into the Production environment.

Migrating a Request Offering from non-production WiscIT to Production WiscIT

IMPORTANT NOTE: Importing a Request Offering will always generate a new Request Offering, regardless of whether is actually a new Request Offering or an update to an existing Request Offering. For this reason, if your process relies on deep links to Request Offerings it is recommended to use go.wisc.edu URLs. Importing a Request Offering will generate a new deep link and the old deep link will no longer work. A go.wisc.edu URL can be easily updated.

1. Make and test the changes to the Request Offering in WiscIT's Staging environment.

2. In the Request Offering Workspace, find the request offering in the list view. Do not open the Request Offering as if you were to edit it.

3. Click the Export Button on the right-hand side of the row for the Request Offering.

4. Save the file to your local disk.

5. In Production, open the Request Offering Workspace.

6. Use the Import Offering button to import a new Request Offering.

7. Required for existing Request Offerings: Deprovision access to the previous version of the Request Offering. See section below.

Test the new Request Offering in Production to validate that it functions as intended.

Deprovision access to a Request Offering

The process of deprovisioning or deprecating a request offering varies depending on whether or not there are in progress Service Requests.

The Request Offering has no workflow or in-progress Service Requests

Change the status of the Request Offering from Published to In Design. Delete the Request Offering if it is no longer needed.

The Request Offering has a workflow and in-progress Service Requests

Changing the status of a Request Offering to In Design will disrupt the workflow for any in progress Service Requests. If there are in progress Service Requests, follow these steps:

1. Open the Request Offering in the Request Offering Workspace.

2. Navigate to the Publish Action Access tab.

3. Uncheck Submit on all rows.

4. Save the Request Offering.
