UW-Madison Zoom Workplace - Getting Started with Zoom AI (formerly Zoom AI Companion)

Zoom AI is an integrated artificial intelligence tool designed to help you work more efficiently before, during, and after meetings. Built directly into the Zoom platform, it assists with capturing key information, summarizing discussions, identifying action items, and streamlining everyday collaboration.

Keep in mind

  • Opt-in: AI features are disabled by default to allow for an opt-in experience.
  • Dynamic features: This document is subject to change without notice as the vendor releases new features.
  • Data privacy: Zoom does not use your data to train their model or third-party AI models. UW-Madison Zoom accounts benefit from enterprise data protection and BAA coverage.

Enable Zoom AI Features

You can choose which AI features to enable for your UW-Madison Zoom account.  Settings that affect in-meeting features (e.g., meeting summaries, in-meeting questions, smart recordings) need to be enabled before your meeting or webinar starts. If in-meeting AI features are modified during a meeting or webinar, a new instance will need to be created to see the changes. The host's settings determine which Zoom AI features are available to attendees.

  1. Log in to https://uwmadison.zoom.us using your NetID credentials.
  2. Select Settings in the left menu.
  3. Select the Zoom AI tab in the top menu.
  4. Enable preferred settings as needed. 

Use Zoom AI Features 

Conversational AI (New) 

  • AI Web App: Enable the "Show conversational AI" setting to get started. Use well formatted prompts to receive tailored responses sourced from different data sources and contexts available to you. If prompted, use your NetID credentials to log in. Note: Integration with Google Drive and Microsoft OneDrive is not available at this time.

Meetings

  • In-meeting questions: Quickly catch up and get clarity on what you missed during a meeting without interrupting it. These are private and cannot be seen by the host or attendees. Questions are not included in the meeting summary. Hosts need to enable in-meeting questions for attendees. Learn how to ask in-meeting questions.

  • Smart recording: Review cloud recordings faster through highlights, smart chapters, summaries, and next steps, and get analytics on key meeting and conversation factors. Learn how to create a smart recording.

  • Meeting summary: Generate a summary and next steps on what was discussed in your meetings and share using Zoom Hub. Learn how to enable and generate meeting summaries. The host receives an email with a link to the meeting summary and controls who receives a copy. Invite Zoom AI to join a Microsoft Teams or Google Meet meeting to create a meeting summary.

Chat

  • Chat compose: Draft messages based on conversational context and what you want to say, as well as customize its tone and length. Learn how to chat with your team using Zoom AI

  • Message, doc, and thread summary: Quickly summarize new messages in a Zoom Chat or channel, content of long Zoom Chat threads, and shared documents. Learn how to summarize chat threads.

Hub 

  • Central repository: A centralized space to search and manage whiteboards, clips, meeting recordings, and meeting summaries. Learn how to access and manage your Zoom files in Zoom Hub.

Unavailable features: ZoomMate, Workflows, My Notes, Tasks, Phone, Mail & Calendar, Canvas, Sheets, Paper, or Slides. 

Zoom AI Visual Cues

There are a few ways to tell if a meeting has Zoom AI enabled:

  1. Participants: A disclaimer will appear when joining the meeting. 
  2. Host: If you see an option to stop AI Companion features in the desktop client toolbar, then AI Companion is enabled. 
  3. Host and participants: When AI Companion is enabled, there is a sparkle indicator(✨) in the upper-right corner of the meeting. If you click on the indicator, it will tell you what AI Companion features are enabled.
