UW-Madison Zoom Workplace - Service Accounts

This document provides guidance on who is eligible to request a Zoom-enabled service account, outlines use cases that are not approved along with alternative recommendations, explains how to request a Zoom-enabled service account, and describes how to manage one.

Prerequisites

  1. Eligible for Zoom
  2. Existing Microsoft 365 service account
  3. At least one NetID listed to give access to the Zoom service account

Important note:

  • UW-Madison Zoom licenses are prioritized for eligible faculty, staff, and student netID@wisc.edu accounts.
  • Resource accounts are not eligible for a Zoom license and cannot be approved.
  • A maximum of two Zoom service accounts are allowed per department.

Unapproved use cases

The following are some examples of use cases that cannot be approved for a Zoom service account.

Use Case Not Approved Alternative Option
Schedule on behalf of another user Service accounts are not meant to replace scheduling tasks using a NetID account.  Use your NetID account to set up Schedule Privileges 
Dedicated account for departmental meetings and events

Service accounts shouldn't be used exclusively for internal/external departmental meetings or presentations.

Share hosting duties using your NetID account and these features:

Host ongoing drop-in sessions

Service accounts are not intended for recurring sessions like student or advisor drop-ins.

Use your NetID account to:

Hide host’s name

Service accounts should not be used to conceal the host’s name.

Zoom Service Account Request

Service accounts might be approved for a Zoom license if the use case meets one of the following criteria:

 Criteria  Use case
 Video conferencing hardware  Setup Zoom meetings on Polycom, Cisco, other hardware.
 Shared student IT support role   Can be used in a student Help Desk setting

Please note: We cannot guarantee approval due to limited license availability and priority given to eligible faculty, staff, and students with NetID@wisc.edu accounts.

Manage a Zoom Service Account

Grant a NetID Access to a Zoom enabled service account

Audience: Domain administrators and authorized administrators only

Before a user can log in to Zoom using a service account, the user's NetID must be granted access to the account. Once access is provided, users can log in to Zoom. They can also manage their access to the Zoom enabled service account using the Wisc Account Admin (WAA) site. 

  1. Log in to https://email.wisc.edu/admin
  2. Enter the service account's email address in the search field.
  3. Select Zoom
  4. Select Access
  5. Enter a NetID and select Add
  6. Done

Log in to Zoom using a service account

  1. Go to https://uwmadison.zoom.us.
  2. Authenticate using your NetID credentials.
  3. If a list of service accounts are listed, please select the preferred account.

Manage Access

Audience: Any user

View and remove your NetID's access to service accounts that can log in to UW-Madison Zoom.

  1. Log in to https://email.wisc.edu/admin 
  2. Select My Account
  3. Select Zoom
  4. You will see a list of service accounts that you have access to. 
  5. (Optional) Select Remove next to the service account you no longer need access to. 
  6. Done
