Leaving the University - Recommendations for Extracting Email from Microsoft 365 (Former Students)

This document outlines recommended solutions for what to do when a former student loses access to their UW-Madison email account (netid@wisc.edu).

The following solutions are suggestions and recommendations on what to do if you are leaving the University and want to keep an archive of your data. There is no one-size-fits-all solution to extracting, backing up and utilizing your email data.

No Liability for Data Loss: The DoIT Help Desk will provide guidance on various email backup, archival, or migration options. However, DoIT, the University of Wisconsin–Madison, and Microsoft are not responsible for any data loss or data corruption that may occur during this process. While these methods are reliable, migration of mail is voluntary and you assume all risk during this process.

Recommendations before you begin

Extracting and archiving data takes time and resources, especially storage space. Before you begin, identify the important messages and attachments you want to save. Review: Manage my mailbox size - Microsoft Support.

If you have a small amount of data that is truly important to save, consider manually forwarding those messages and attachments to your new email account.
