Edit Funding Lists - Overview
The Edit Funding Lists page is where you can view all funding strings that have been entered into the IPT system. You can also update existing funding strings or add new ones. You can access the Edit Funding Lists page from the IPT navigation menu on the left.

Add funding
-
On the Edit Funding page, select which type of Workday funding you wish to add, from "Grants", "Programs", or "Projects".

-
Select the appropriate funding from the dropdown list. Click "Add" to add that Workday fund.

Create a placeholder funding string
You may consider creating a placeholder funding string to use in instances where the exact grant or source of funding is TBD (such as when adding a course release/buyout).
To create a placeholder:
- Instead of selecting from one of the three dropdown lists, enter text in the area named "Placeholder".
- Click the Add button next to Placeholder.

Once the funding exists for in Workday, you can update the placeholder to replace it with the correct funding.
- In the Fund List, find the placeholder you created

- Select the appropriate Workday fund to replace the Placeholder using the provided dropdown box.
- Click Assign.
This will replace the Placeholder with the appropriate funding information in all places where the Placeholder is currently assigned. The name will also be updated with the Workday funding name.
Edit funding
It is not possible to edit a funding string once created, as it is pulling the information directly from Workday. Your only options are to Delete it (if it isn't in use) or Hide it (if it is in use).
Can you delete a funding string?
You can delete a funding string, but only if it is not in use anywhere in the application. Funding strings in use can only be hidden. This can help your department ensure needed funding strings are not deleted accidentally.
When a funding string is hidden, it will no longer appear in Funding dropdowns throughout the IPT application, such as on the Course Release page and any individual Course edit pages. However, looking at historical data, you will still see it in use.
To hide a funding string your department no longer uses:
- Go to the Edit Funding page and find the funding string you’d like to hide. Select “Hide.”

You are also given the option to see where a funding string is used by clicking on the Where Used button. It will provide you a list of all instances where the funding string has been allocated.
