Globus - Transferring to / from GoogleDrive

This guide will show you how to setup Globus to transfer files to / from your campus GoogleDrive account.

Give Globus permission to access your GoogleDrive

Before you make your first transfer, you must give Globus permission to access your GoogleDrive account.

  1. Navigate to the “Collections” tab on the left-hand menu.
  2. In search box, search “wisc-googledrive”.  Make sure none of the “Quick Filters” are selected.
  3. Click the “wisc-googledrive” collection link.
  4. Select the “Credentials” tab.
  5. Select “Continue”.
  6. On the Google Sign in page, select the account you wish to connect to.
  7. On the next page, select “Allow” to grant Globus the listed permissions.
  8. You should now see your Google account listed under the “Credentials” tab. 

Note:  you only need to complete this setup once. 

Remove Globus access to your GoogleDrive

If at any point you wish to remove your Google credentials:

  1. Select "Collections" option on left-hand menu.
  2. Search for and select your “wisc-googledrive” collection.
  3. Click the “Credentials” tab.
  4. Select the trashcan icon next to the credentials you wish to delete.
  5. Select "Delete" button.

Note:  Globus will not be able to access your GoogleDrive files once you delete your credentials.

Access & navigate your GoogleDrive Globus collection

Once you enable Globus access to GoogleDrive, you should see "wisc-googledrive" listed under “Collections” (make sure “Recently used” is selected).  This is your GoogleDrive collection that is mapped to the Google account you selected during setup.  You may click into this collection to access management options. 

Note:  By default, the “Recently Used” filter might be selected.  If you do not see wisc-googledrive listed in your “Recently Used” collections, search wisc-googledrive in the search box instead.

Access a SharedDrive (i.e. Team Drive)

By default, Globus might display your MyDrive (your personal drive).  However, you may also access your SharedDrives (i.e. Team Drives).

  1. Select "File Manager" in the left-hand menu and then search for and select your wisc-googledrive collection.
  2. Click the "One folder up"  icon.
  3. Click the "Team Drives" link.
  4. Select the SharedDrive you want to access.

You may have noticed that your GoogleDrive collection is not listed under the “Your Collections” tab within "File Manager".  This is because you are not the owner of the "wisc-googledrive" collection.  Instead, you are utilizing a collection that the university created and manages. 

It is recommended that you create a bookmark for your GoogleDrive collection.  This will prevent you from having to search for your collection each time you want to use it.

Create a bookmark

  1. Select “File Manager” in left-hand menu.
  2. Type "wisc-googledrive" in the search box and select “wisc-googledrive” in the result list.  One the resulting page, two search boxes will appear.  The left search box should display “wisc-googledrive” and your folders/files should appear.
    • Optional: if you wish to bookmark a subfolder within your GoogleDrive MyDrive, select the desired folder (or type the path into the box labeled “Path”)
    • Optional:  if you wish to bookmark a Team Drive (i.e. SharedDrive), navigate to the desired drive using the instructions in Transfer to / from a Team Drive (i.e. SharedDrive).
  3. Once you have the desired location selected, click the bookmark icon.
  4. Enter a label for the bookmark and select “Create Bookmark”.  The bookmark will now appear under the “Bookmarks” tab on the "File Manager" page.

Transfer to / from your GoogleDrive collection

Once you have enabled Globus access to your GoogleDrive collection, you may transfer to and from your GoogleDrive account.

Transferring from your GoogleDrive collection

Transfer files/folders from your GoogleDrive to another storage location.

  1. Select “File Manager” in left-hand menu.
  2. Type "wisc-googledrive" in the search box and select “wisc-googledrive” in the result list (or select the appropriate bookmark if you created one).  On the resulting page, two search boxes will appear.  The left search box should display “wisc-googledrive” and your folders/files should appear. 
  3. Select the folders/files within your GoogleDrive that you want to transfer.
  4. In the right-hand search box, search for and select your desired collection (where you want to transfer to).  Select the location within this collection that you want to transfer your files to.
  5. Click the “Start” button located under your GoogleDrive collection (in this example, on the left-hand side of the screen)

Transfer files/folders from another storage location to your GoogleDrive.

  1. Select “File Manager” in left-hand menu.
  2. Type "wisc-googledrive" in the search box and select “wisc-googledrive” in the result list (or select your bookmark if you created one).  On the resulting page, two search boxes will appear.  The left search box should display “wisc-googledrive” and your folders/files should appear. 
  3. Select the location within your GoogleDrive that you want to transfer files to.
  4. In the right-hand search box, search for and select your desired collection (where you want to transfer from).  Select the folders/files within this collection that you want to transfer to GoogleDrive.
  5. Click the “Start” button located under the collection you are transferring from (in this example, on the right-hand side of the screen)

A note about restricted data

Per the terms of service, GoogleDrive is not an approved storage location for restricted data, including Protected Health Information (PHI).  Please use caution when transferring to GoogleDrive to ensure that restricted data is not included in the transfer.

Share GoogleDrive files with others

Sharing GoogleDrive files is usually easiest using the GoogleDrive website.  Sometimes you may prefer to share GoogleDrive files via Globus, such as when you want to share with a Globus group. 

To share GoogleDrive files via Globus, you must first create a "guest collection".

Create a GoogleDrive guest collection

  • Click "Collections" in the left-hand menu.
  • Search for and select your "wisc-googledrive" collection.
  • Click "Collections" tab.
  • Select the "Add Guest Collection" button.
  • Complete the form as desired and click "Create Collection".

Add permission for others to access your GoogleDrive guest collection

  • Within your GoogleDrive guest collection, click the "Permissions" tab.
  • Click the "Add Permissions -- Share With" button
  • Complete the form, making sure to add the people/groups you would like to share with.  Select "Add Permission".
  • On the pop-up box, click "Done".

You have now shared your GoogleDrive guest collection!
