How to reserve a UW Fleet vehicle (authorized drivers)

Step-by-step guide for authorized drivers to reserve a vehicle and make temporary parking arrangements with UW Fleet on behalf of themselves or another authorized driver.

Only authorized drivers are able to reserve UW Fleet vehicles. Learn how to become an authorized driver.

Reserve a UW Fleet vehicle

  1. Go to the Wisconsin Fleet Management System website.

  2. Select UW from the drop-down menu located on the left side of the page. Then click the Logon button (not pictured).

  3. Select your UW institution from the drop-down menu. Then click the "Logon" button.

  4. When prompted, login with your NetID and password.

  5. After successfully logging into the portal, select Reservation.

  6. Using the drop-down menu, indicate if you are making a reservation for yourself or on behalf of another authorized driver. Then click the "Make New Reservation" button.

    • Note: If you are reserving a vehicle on behalf of another authorized driver, you must enter their NetID. (Their NetID may be different from their email address.)

  7. On the reservation information page, choose "UW FLEET" for the pool location, and enter the following information:

    • Vehicle type (see vehicle photos page for examples)
    • Pickup date and estimated pickup time
    • Return date and estimated return time
    • Destination city and state
    • Number of passengers

  8. Enter the T-number(s) for departmental billing and the percentage to be drawn from each fund. If funding for the vehicle reservation is split among multiple accounts, the total percentage must add up to 100%. After adjusting the funding information, click Make Reservation. You will receive an emailed notification confirming your reservation has been entered.

Reserve parking for a personal vehicle

You must complete an additional request form to reserve parking for your personal vehicle during your UW Fleet vehicle reservation period.

  1. After completing a vehicle reservation request, a pop-up window will appear asking if you want to make another reservation. Click Yes.

  2. In the Reservation Information section, in the vehicle type drop-down menu, select U PARK Parking spot. Make sure the parking reservation details are the same as your vehicle reservation request.

  3. Click the Make Reservation button on the bottom of the reservation request form (not pictured). You will receive an emailed notification confirming your reservation has been entered.
