L&S Recruitment of Short-Term Staff
Please note: This is a transitional step toward a more streamlined process we plan to build upon in future hiring cycles.
All units must complete the Spring 2026 Hire Request form to indicate your Spring 2026 STS & SA hiring plans, including Teaching Specialists.
Next Steps for Units with STS Requests
Once your form is submitted, you will receive a link to the shared Google Sheet. You will be asked to:
- Enter new STS requests and/or review and update existing ones
- Specify the number of anticipated STS hires
- Indicate how you plan to fill these roles (e.g., recruitment, direct hire, waiver)
- Provide financial details (funding department, anticipated salary, fund work tag)
Depending on your unit’s hiring needs, there will be additional information your unit will be prompted to provide on the shared Google Sheet.
Important Note: All requests must be finalized and entered on the Google Sheet by November 24, 2025, to ensure all approvals and hiring activities are completed ahead of the January 1, 2026, appointment start date.
After receiving STS approval, please work with your HR Business Partner for all STS direct hires or STS hires via job requisition waivers.

STS Position/Reappointment Limitations and Converting Terminal STS to Renewable
Short-term staff have strict policies and limitations surrounding their positions. Please see addendum below for information on STS reappointments, limitations and converting STS to ongoing-renewable.
STS Titles that require a Job Requisition (can be wavier or open recruitment)
Most short-term instructional staff in the College of Letters & Science are hired with academic staff titles such as:
- Lecturer
- Teaching Specialist
- Teaching Faculty
STS Job Requisition Waiver (Waive Open Recruitment)
Academic staff positions at L&S are expected to be posted for open recruitment to ensure that positions are made available to the public as much as possible and to help generate the widest possible applicant pools for L&S as a whole. However, a waiver of open recruitment via Job Requisition Waiver is allowed in some circumstances.

STS Open Recruitment
Open Recruitment for STS should be used when there isn’t a candidate in mind to instruct a course. Hiring STS via open recruitment also allows the possibility of converting them to ongoing-renewable. The minimum posting time for STS titles is two weeks. The approval process can take a week or more, so please plan accordingly.

STS Direct Hires
L&S does not require job requisitions for the titles listed below (although Visiting Faculty may be hired via an open recruitment job requisition if desired).
Please follow the specific instructions for each title:
Since these titles will not be hired via job requisition, an employment agreement will not generate for them through Workday. Please send a draft letter and the candidates’ most up to date CV to your HR Business Partner to review/approve.
