Outside Activities Reporting (OAR) Instructions

 

The following written instructions are complimentary to the videos available on the OAR landing page.

 

OAR Filing Instructions

  1. Go to your OAR dashboard from the OAR landing page
  2. Begin filing your OAR by selecting the “Create OAR” button
  3. Use the “Continue” buttons to navigate through the OAR
  4. If you have reportable activities, select “Add Outside Entity”
  5. You’ll be given an option to add an outside entity from our directory, which pre-fills some information for you; otherwise, you can enter information on the right-hand side of the screen and select “OK” 
  6. When you have entered all of the necessary information about one of your outside activities, the status column will indicate the activity is “ready to submit.” If more information is needed, it will indicate there is “Incomplete Data”
  7. If you have previously entered information about an activity and have nothing new to report, you may select “Mark Unchanged” in the far-right column
  8. After entering information about all of your outside activities, you are now ready to submit your Outside Activities Report. This is done by selecting “Submit OAR” on your home page

How to Accept a Management Plan


When you have been assigned a management plan, you will receive an email notification from the Conflict of Interest Office with instructions for your management plan requirements.

  1. Log into your OAR dashboard. Select the “Entities” tab from the OAR dashboard.

  2. Relationships needing management plan acceptance will be indicated with “MP Assigned” under the management column and have a checkmark with the words “Accept Mgmt Plan.”

  3. To accept your plan, select “Accept Mgmt Plan”

  4. A pop up window will appear with a link to your management plan. Once you read through your management plan, select the box agreeing to the terms and conditions of the management plan and select “OK.”

  5. Repeat this process for each outstanding management plan.

 

Upload an Annual Meeting Confirmation Form

Your management plan requires you to meet annually with your department chair, center director, or dean or director to review information related to your relationship with managed entities. After this meeting, you must provide documentation that it occurred. You can do this by uploading a copy from your OAR dashboard using the following instructions:

  1. From your OAR dashboard, select “View/Add Annual Meeting Confirmation”
  2. Select “add” from the pop up window
  3. Select a meeting date from the calendar selector
  4. Select upload
  5. Fill in the Title box
  6. Select Choose File
  7. Select “ok” on the bottom right of the popup window
  8. Add any meeting comments
  9. Select “ok” in the “add annual meeting” popup window
  10. Select “ok” in the “Annual Meeting confirmation” popup window

Upload an Annual Email Disclosure

Your management plan requires you to provide information on potential conflicts of interest to all students, fellows, trainees, and other research workers whom you supervise in the course of your research.

You must provide this information at least once a year.  You can fulfill this requirement by sending an email message to your students, fellows, trainees, and other research workers and CC'ing the COI Program staff (coiprogram@research.wisc.edu) or uploading a copy from your OAR Dashboard using the following instructions:

  1. From your OAR dashboard, select “View/Add Annual Email Disclosure”
  2. Select “add” from the pop up window
  3. Select a email date from the calendar selector
  4. Select upload
  5. Fill in the Title box
  6. Select Choose File
  7. Select “ok” on the bottom right of the popup window
  8. Add any meeting comments
  9. Select “ok” in the “add annual email disclosure” popup window
  10. Select “ok” in the “Annual Email Disclosure” popup window
