An overview an step-by-step guide to exporting grade rosters to an excel spreadsheet and importing grades

Overview

You can export a course section's grade roster into Excel as a comma separated file (.csv) and enter students' grades in the spreadsheet. Exporting is useful for grade entry on very large sections.
You can then import the grades back into the Grade Roster page.
Note: Import is only available if the grade roster has not been posted.

Exporting and Entering Grades in Excel: Step-by-Step

  1. Login to MyUW, then select the Faculty Center tile
  2. Main page will display your schedule for the current term. To view the schedule for a different term, click the Change Term button.
  3. Select the class which needs grade entry and click one of the following:
    • Grade Roster icon Grade Roster
    • Packaged Grade Roster icon looks like wrapped package Packaged Grade Roster
    • Xl-MW Grade Roster icon XL-MW Grade Roster
  4. On the grade roster page, click the [Export] button.
  5. Click [Save] on the File Download dialog box.
  6. In the Save As dialog box:
    • You may change the file name.
    • Manually change or add on the File Name extension to be .csv (not .xls).
    • Select the desired save in location.
    • Click Save.
    Note: The Excel spreadsheet must be saved in the .csv file format.
    MAC users: Select csv (Windows) when saving and name the file with 30 characters or less.
  7. Open the .csv file you just saved.
  8. Enter the grade for each student in the Grade Input column.
  9. Save the file, making sure to keep it as a .csv file.
  10. If you get asked if you want to keep the file in the Comma Delimited format, select [Yes].
  11. To import the spreadsheet, continue to import instructions below.

Importing from the Exported Spreadsheet: Step-by-Step

  1. Login to MyUW, then select the Faculty Center tile
  2. Main page will display your schedule for the current term. To view the schedule for a different term, click the Change Term button.
  3. Select the class which needs grade entry and click one of the following:
    • Grade Roster icon Grade Roster
    • Packaged Grade Roster icon Packaged Grade Roster
    • Xl-MW Grade Roster icon XL-MW Grade Roster
  4. On the grade roster page, click the [Import] button.
  5. From the Choose File dialog box, select and open the .csv file you saved.
  6. Click Upload.
  7. From the Grade Roster page, click Save.
    Notes:
    • When you click save, your imported grade entries are validated. If an invalid grade was entered, an error displays and invalid entries are highlighted in red.
    • If the grade roster names no longer match your extracted roster, an error will display.
      Contact the Registrar's Office.
  8. When all grades for this section are entered, submit grades to the Registrar's Office for posting:
    • On the Grade Roster, select Submit to Registrar
    • On the XL-MW / Packaged Grade Roster, click Submit
  9. Click [Save].
Important notes:
  • You must only import the .csv spreadsheet that was saved from the export feature from the grade roster. Every field must match exactly!
  • Delete the saved .csv files after you have imported them.
