Hamel Music Center Usage Policies

Mead Witter Foundation Concert Hall

Usage is designated for the rehearsal and performance of Mead Witter School of Music faculty, students, and guest artists. Subject to availability depending on MWSoM usage, the Hall may be rented for public use for events featuring musical performance. Because of availability limitations, the Concert Hall will typically not be available for rent to off-campus users during the semester. The Hall will not be used for regular, standing rehearsals or instructional use. The Hall will be the primary performance venue for most MWSoM large ensemble events. Mead Witter Hall is only available for student recitals based on special performance needs, at the discretion of the Facilities Director.

Collins Recital Hall

Usage is designated for the rehearsal and performance of Mead Witter School of Music faculty, students, and guest artists. Subject to availability depending on MWSoM usage, the Hall may be rented for public use for events featuring musical performance. Because of availability limitations, the Recital Hall will typically not be available for rent to off-campus users during the semester. The Hall will not be available for regularly scheduled Studio classes or master classes (except for piano studios for the use of their performance instruments), or for regular, standing rehearsals or instructional use. Morphy Hall will continue to be the primary venue for regularly scheduled Studio classes and small ensemble rehearsals. Collins Hall will be the preferred performance venue for small ensembles, faculty and guest artists small-scale performances.

Lee/Kaufman Rehearsal Hall

The Rehearsal Hall will be regularly scheduled for rehearsal by MWSoM large ensembles and other designated groups. Subject to availability, Lee/Kaufman may be requested for student rehearsals or recordings, or other events.

Requesting space

All the HMC spaces are available for scheduling through the regular space request processes, using EMS

All requests should be made AT LEAST three days in advance, and performance requests should be made four weeks in advance. The Facilities office will follow up by email. 

Hamel Music Center access

The HMC is equipped with card readers on exterior doors, and some interior doors. The electric locks can be scheduled based on the performance and rehearsal schedule to open prior to performances or rehearsals and close afterward. The front lobby doors will be open to the public for scheduled performance events 60 minutes prior to a performance.  MWSoM Facilities Director will manage card access and schedule, in conjunction with Campus Security. If there are any issues requiring immediate action, call Security at 264-2677. Otherwise, the Facilities Director is the liaison with Campus Security.

 All faculty and staff will have card access to HMC during regular MWSoM hours (7am-7pm). Access to HMC exterior doors is by card reader for authorized personnel outside open hours. The west side door near the Chazen will be the main entrance for student, faculty and staff access. Students regularly rehearsing in HMC should find the side door scheduled open for ensemble dress rehearsals in the concert hall. For recital rehearsals/performances or recordings, students may check out a key fob from Keydesk (reservation required).

Recording

Faculty may use of any halls for recording subject to availability. If Lance is not engaged to do the recording, he may be available to assist outside producers. There are fees for use of MWSoM recording facilities and equipment.

Students may reserve space in performance halls for their own recordings. There is a fee in the Facilities system for performance hall access. Students are expected to provide their own recording equipment & staff. When a recording event is confirmed in the schedule, the student may check out a key fob from the Keydesk for hall access.

Use by external organizations

Spaces in HMC will be available outside the schedule of MWSoM curricular events on a rental basis for use by other UW departments or outside groups. UW departments have priority after MWSoM, then outside users. Rental fees for space, equipment, and services are maintained by the Facilities Director. All requests should be for events of a musical nature, in keeping with the curricular mission of the MWSoM. Outside organizations will typically be limited to dates outside the academic calendar; winter & summer breaks. UW departments may use HMC facilities for musical performances, or for selected donor/VIP events, subject to MWSoM schedule requirements.

Campus leadership (i.e. Provost, Chancellor, L&S Dean, Div of the Arts) may request HMC spaces for special events on a case-by-case basis, and scheduling is subject to availability based on School of Music scheduled events and curricular schedule. Labor and equipment expenses still apply, hall rental fees may be waived. Contact the Director of the School of Music or Facilities Director for details.

Scope of staffing needs

All public events in the HMC should be staffed by a stage manager and house manager. Stage crew provide setup & teardown for all MWSoM events, including major ensemble rehearsals. Stage Crew do not have the capacity to fill a house management function, being required backstage most of the time. Stage crew will be supervised by the Technical Director. 

House management is a function provided for all public performances at HMC. This position would open doors to admit audiences, close doors when performances start, open them again for intermission or ending, field audience requests for directions and information, respond to situations with the public requiring attention.
