ECMS - User and administrator accounts

This document explains ECMS user and administrator accounts.

User account

Note: User account privileges vary and are determined by the custodian of the data you are accessing in the Imaging system.


  • Process documents in workflow and batches.
  • Scan and link documents.
  • Search and view documents.

Types of user accounts

UW-Madison and UW-Extension users:
  • Username:
  • Password:  netid password
UW-Milwaukee user:
  • Username:
  • Password: pantherid password

Optional privileges for user accounts

Capture and View Manager privileges

Member of the Z_departmental_Global_Limited group.

Create and edit the following**

NOTE: Edit privileges only apply to objects the user has explicit manage privileges on, or has created):

  • Application plans
  • Annotations
  • Capture profiles
  • Document view
Workflow Manager privileges

Process privilege granted to specific workflows: Create, edit, and configure workflow queues in the specific workflow.

Business Insight (BI)

Access to BI reports created for departmental admins.

Administrator account


  • Create or administer workflow queues, application plans, views, and annotations.
  • Add/remove users/groups to workflow queues.
  • Create or administer document types and custom properties.

Types of administrator accounts

UW-Madison and UW-Extension admins:
  • Username: netid
  • Password: netid password
UW-Milwaukee admin:
  • Username:
  • Password: pantherid-a password

Administrator accounts cannot

  • Log in to Perceptive Experience.
  • Create or view documents.

Account requests procedure

  • All account requests must be made via the JIRA process for ImageNow.
  • Normal user account requests (including optional privileges) must be approved by the business unit’s data custodian.
  • Administrator account requests must be approved by the Imaging Team.
