CSIS - UW Staff L3 FAQ

This document addresses frequently asked questions from UW-Madison staff regarding the L3 (Lifelong Learning LMS) process. It provides detailed guidance on starting with the L3 automation process, setting up courses, accessing helpdesk documents, managing Canvas spaces, troubleshooting learner issues, and handling instructor and learner registrations.
  • How does the L3 NetID to Canvas work
    • For Learners:
      • L3 provides learners a quick way to set up a NetID, which allows immediate access to their Canvas Course.
    • For Staff:
      • L3 connects Canvas shell to CSIS Course, which allows learners to be automatically added to Canvas course after being added to CSIS via CERC or manually uploaded.
      • Once users are connected to course in CSIS via L3, staff can track information with reports. 
  • My unit has never used the L3 automation process before, where do we start?
  • How do I set up a course to use the L3 automation process?

    • You will set up a curriculum from which you will clone instances with specific dates.

        • Instructors: Delivers the content: speaker, SME, one or more who teaches the course
        • Developer/Director: Responsible for course content; perhaps course designer 
        • Coordinator/Support: They are responsible for administrating / entering the course data into CSIS, responsible for setting up and adding content in the Canvas course, and sending CSIS information to CERC Registration. (can be same person as Developer/Director).
  • How do I add participants who do not register through CERC?

  • How do I know if I should use an existing Canvas shell or create a new one?

  • Where are the public HelpDesk documents about noncredit automated LMS access?

  • Where is the learner-facing draft FAQ?

  • What if I want to change the name of the Canvas space?

    • Your Canvas subaccount administrator can edit the name in Canvas. Once the name is updated in Canvas, you will want to update the name of the LMS Space in CSIS. You want your Canvas spaces to match the name listed in CSIS in your LMS Spaces tab. If it doesn't match it may cause UW staff confusion later on. Especially when trying to troubleshoot learner issues.

  • When a registered learner has a problem getting access to the course or setting up their NetID, where do I send them?

    • Send them to your department contact for learner troubleshooting. You can find your department contact email on the L3 Department Contacts List

    • If you don't see a contact for your department listed, reach out to online@dcs.wisc.edu. Let them know what department you are from and the issue you or a learner are having.

  • Can I help a learner who mistakenly created multiple NetIDs for themselves?

  • How do instructors and our program staff get access to the LMS spaces? You are free to choose from 2 methods:

    • Automated method via CSIS: One can add UW staff to any program as 'Instructors." This document shows how to add an individual as an instructor or staff. As soon as the box next to the instructor's name is checked in CSIS, the instructor is immediately sent the same "Get Started" email as new students. This includes instructions on how to create a NetID for themselves if they don't have one already. If the instructor has previously been enrolled in an L3 course using this automated method, then they immediately appear in the Canvas space roster in a "Teacher" role. Otherwise, like with students, the instructor must first follow the instructions in the "Get Started" email before they appear in the Canvas roster.

      • Note: if the instructor has previously clicked through any "Get Started" invitation, they do not necessarily have to click through any future ones. They will immediately appear as "Teacher" in the Canvas space regardless.

    • Manual upload in Canvas: Anyone with a NetID can be added directly to the Canvas class within the Canvas space. See: Canvas - Adding People to a Canvas Course [UW-Madison]

  • How do I remove an instructor from a Canvas space, after they’ve been added them using the L3 process?

    • This applies if the instructor appears as an Instructor in CSIS as well as a Teacher in Canvas. Otherwise you can simply use CSIS to remove the Teacher.

    • In CSIS, open up the relevant program Instance screen, click the Instructor heading on the left.

      • Click the pencil icon next to the instructor's name

      • Uncheck the box labeled "L3 Access" and click "save"

    • Whereas if you use Canvas to remove a teacher who is designated as an Instructor in the L3 automation, then the teacher will automatically reappear in Canvas during the overnight reconciliation process.
  • What happens when a learner cancels their registration through the Continuing Education Registration Center (CERC) Office?

    • Campus systems will automatically detect the cancellation and remove the learner's access to the relevant LMS course spaces that night (approximately midnight).

    • If you need to remove them immediately, you may always use the CSIS "LMS Spaces" tab for that course in CSIS. You may manually remove any learner's access at any time, simply by setting their expiration date to yesterday. You can verify that it took effect immediately by checking the LMS space roster.

  • After a program has received registrations, can I add a new (additional) LMS space to a course and expect that previous registrants will automatically get access to the new space?

    • Yes. After adding the new LMS space, you are immediately presented with the option of modifying the space-expiration dates for all past registrants with respect to the new space. The initial "Access End Date" date per learner will be the usual default: no expiration at all, with each learner's "Access Start Date" set as today's date.

  • What happens to enrolled students when I delete an LMS space from a CSIS program?

    • It will remove all participant access, except for any participants who have access granted to this space for reasons such as enrollment in other programs using this space or instructor status.

    • Please note: this action will not delete the LMS Course/Space from the LMS itself. To fully delete the LMS Course/Space, you will need to work within that LMS.
