Requirements
WCER/SoE network account
You must have an active WCER or School of Education network account to connect to WCER network printers. If you do not have one, please work with your project PI or Project Manager to help get an account created and/or activated.
GlobalProtect Departmental VPN
You must be connected to the School of Education Departmental VPN or to a live Ethernet cable within a School of Education building (Education, Teacher Ed, Ed Sciences). Please refer to Departmental VPN Instructions for connecting to the SoE Departmental VPN.
Individual Responsibility for Network Security
UWNet users are expected to take reasonable steps to ensure that their computer systems do not create a security risk when connected to the UWNet network. This would include but would not be limited to the following steps:
- Students, staff and faculty must register their computer on the UWNet network using a campus NetID and password. Guests of University Housing will be asked to provide registration information when they first access the UWNet network.
- Run anti-virus software with current virus definitions.
- Keep operating systems current with the latest patches and service packs offered by the vendor.
- It is recommended that individual computers are protected by a personal firewall.
- It is recommended that users perform regular scans for malware using anti-spyware software.
- Exercise caution when opening e-mail. Never open e-mail attachments without first determining the reliability of the sender. Scan attachments using anti-virus software.
- Exercise caution when opening instant messages. Never download unsolicited files offered from an unknown sender.
Connecting to a WCER Network Printer
Click on the Windows Start menu icon and search for “printer” then select Printers & scanners
from under the "Best match" list when it appears.
Alternatively, the path from the Start menu is: Settings > Bluetooth & devices > Printers & scanners
Click on the Add device button under Printers & scanners
Scroll through the list of printers and select Add a new device manually from under "The printer that I want isn't listed".
Select the radio button for Add a printer using an IP address or hostname then click on the Next button.
Enter the following information
- Device type: Select TCP/IP Device from the drop-down menu.
- Hostname or IP address: Enter wcerprintername.ad.education.wisc.edu. For printername, enter the name of the printer you are installing.
In our example, Florence is the name of the printer so wcerflorence.ad.education.wisc.edu was entered. - Port name: This will automatically fill as you enter the hostname. DO NOT change what is completed here.
- Check the box for Query the printer and automatically select the driver to use if this is not automatically checked.
Click on the Next button.
Install the Printer Driver
At this point you are being asked to select the printer manufacturer and printer driver.
If the Ricoh driver is already available, choose Ricoh under the "Manufacturer" list then choose PCL6 V4 Driver for Universal Print under the "Printers" list.
Click on the Next button
- Note: If your printer model does not show up, you will first need to click on the Windows Update button to have it update the list of printers. This process may take several minutes.
Change the Printer name to a recognizable name such as "WCER Florence".
Click on the Next button. This will install the driver and printer.
Select the radio button for Do not share this printer.
Click on the Next button.
The printer was added successfully.
DO NOT print a test page for any of the Ricoh floor printers. A job code has not been entered yet so the printer will not let the job through.
Click on the Finish button.
You should now see the printer you just added in the list of devices under Printers & scanners.
Configuring a WCER Network Printer
In this example, the Ricoh printer's name is "WCER Florence". Substitute your printer's name wherever you see "WCER Florence" in the documentation.
Choose Printing preferences from the listed settings options.
Under the "Basic" tab, change the Color Mode to Black and White
NOTE: Failure to change to black and white results in a .40 per page charge fee, regardless if the document contains color or not.
Also under the "Basic" tab, click on the User Code Setting... button.
Enter your project's 4-digit User Code (e.g. 1234)
Click on the OK button.
NOTE: Project print codes are generated by the WCER Research Admin team and are given to the PIs of projects. Please contact your PI or Project Manager if you do not know which print code(s) to use.
Click on the OK button to complete the configuration process.
