UW-Madison G Suite - Known Issues

The following document outlines known issues with UW-Madison G Suite.

Account Activation / NetID changes

  • Students with FERPA enabled will need to go through a few extra steps in order to activate UW-Madison G Suite.
  • Until recently, individuals who went through the NetID change process needed to manually request that their NetID be changed for UW-Madison G Suite. Due to this issue, individuals were not able to access content shared with their new NetID until it was manually updated in UW-Madison G Suite. Although UW-Madison G Suite is not incorporated into the NetID change process, individuals who had a NetID change prior to April 2015 may still need to have their NetID -- and name, if applicable -- updated in UW-Madison G Suite. The Help Desk can send these requests to the UW-Madison G Suite team. More information about how to request NetID changes and G Suite is available here.
  • Office 365 service accounts cannot check whether G Suite is enabled via the Wisc Account Administration site. If an individual is unsure whether G Suite is enabled for their account, they should contact their domain administrator to find out.

  • If you attempt to access a file that is shared with your UW-Madison G Suite account or "People at UW-Madison G Suite" while you are logged in with a personal G Suite account, you will receive an error. To avoid this issue, make sure to log out of your personal G Suite account(s) before trying to access a file shared with your UW-Madison G Suite account.
  • It is not possible to grant "Is owner" permissions to an account outside of UW-Madison G Suite. If you attempt to hit "Save" after selecting this option, you will receive the following error: "Error Sorry, cannot transfer ownership to jenny.rado@gmail.com. Ownership can only be transferred to another user in the same domain as the current owner."
  • When granting "Can edit" permissions to a Google Site, the " UW-Madison G Suite" and "People at UW-Madison G Suite with a link" options only work if the individual you are sharing with is in the same domain. For example, if you are logged in with bbadger@wisc.edu, you would be unable to gran "Can edit" permissions to bbadger@doit.wisc.edu

G Suite Groups

  • It is possible to create a G Suite Group while logged in with UW-Madison G Suite Groups that is not covered by the G Suite for Education terms of service by going to http://groups.google.com. This will create a group in @googlegroups.com. Groups in @googlegroups.com are covered by G Suite's commercial terms of service. To create a G Suite Group that is covered by the G Suite for Education terms of service, create the G Suite Group via the Wisc Account Administration site. Groups covered by G Suite for Education terms of service will end in @g-groups.wisc.edu.
  • If you attempt to add someone to a G Suite Group who has never signed in to UW-Madison G Suite, you will receive an error message. Workaround: contact the individual and ask them to login to UW-Madison G Suite so that you can add them to the group
  • Office 365 service accounts that are G Suite enabled cannot create G Suite Groups using the Wisc Account Administration site. This capability may be added in the future.
