Microsoft 365 - Managing Authorized Administrator of a shared mailbox, service, or resource account

You can make it more convenient to administer your domain's Microsoft 365 shared mailbox, service, and resource accounts by delegating administration of these accounts to other individuals. Assigning a NetID as an Authorized Administrator grants that NetID with certain administrative privileges over the account.

If a NetID is already the administrator of a domain, it can administer all service, resource, and shared mailbox accounts within that domain. If it is not the administrator of the domain, it is still possible to assign the NetID administration privileges over one or more service, resource, or shared mailbox accounts within the domain. A NetID that has been granted administrative rights to an Microsft 365 account, but not the entire domain the account exists in, is called an "authorized administrator" of that account.

Note for administrators: In order to administer another NetID account in the Wisc Account Administration site, you must have administrative access over the account. To request administrative access over an account, follow these instructions. End users can also grant administrative access. Once administrative access has been granted, you can administer the account.

What can an authorized administrator view/manage?

Service accounts

  • Delete the account
  • Add/Remove Authorized Administrators
  • Add/Remove full mailbox/send as/send on behalf permissions
  • Change primary address
  • Delete alternate addresses
  • Show/Hide account from GAL
  • Reset passwords
  • Add/Remove forwarding address
  • View inbox rules, junk mail settings, and other account information

Resource Accounts

  • Add/remove Authorized Administrators
  • Edit the resource - change name, owner email, description
  • Manage Calendar Processing settings
  • Calendar Access - manage additional owners

Shared mailbox accounts

  • Delete the account
  • Add/remove Authorized Administrators
  • Change primary address
  • Delete alternate addresses
  • Show/Hide account from GAL
  • Add/Remove forwarding address
  • View inbox rules, junk mail settings, and other account information

View/manage authorized administrators of an account

Important: If an authorized administrator removes their own NetID as authorized administrator, they need to log out of and back into the Wisc Account Administration site to avoid using features they no longer have access to which will result in error messages.
  • Log in to the Wisc Account Administration Site.
  • Select or search for the account you want to manage.
  • Once the account homepage is loaded, select Account Administration from the menu on the left-hand side.
  • From within the Account Administration menu, select Authorized Admins.
  • Make the desired changes.

 View accounts your NetID is authorized to administer

  • Log in to the Wisc Account Administration Site.
  • Select your NetID account.
  • Select Account Administration from the menu on the left-hand side.
  • From within the Account Administration menu, select Authorized Accounts. You will see all the accounts your NetID has been authorized to administer.
If you don't see the desired account(s) listed here, contact your domain administrator or the owner of the account.
