Academic Year Planning - Add a course release (buyout)

Access Course Release page
You can access the Course Release page from either Academic Year Planning or Instructor Management, which are both linked in the IPT navigation menu on the left.
From Academic Year Planning
From Academic Year Planning, select “Set Buyouts” at the top of the page.
Once you’re on the Course Release page, select the specific instructor from the dropdown list, then click “Load.”
From Instructor Management
From Instructor Management, you must first select the name of the instructor you’d like to add a buyout for.
Once you’re on the Instructor page, scroll to the bottom and select “Add Release.”
Add a course release

On the Course Release page, verify that you’ve selected the instructor you intend to add a buyout for. Select “Load” to ensure the correct instructor page loads.

Select an academic term from the dropdown list.

Enter the percentage of a full-time equivalent (FTE) that is bought out. This should be entered as a number only — the percent symbol is not needed.

Enter the number of course releases.

You can enter up to three releases per instructor per term.

If you need to enter multiple releases with different funding strings, select the “Another Release” checkbox at the bottom of the form to load additional course release forms (up to three).

In the Type field, select the reason or purpose of the release (up to two). The options listed are Administration, Extramural Funding (grant funding), and Other.

In the Release Description field, you may enter the name of the grant (if known), the administrative role, or any other information that may be helpful to your department and payroll administrators.

Enter TBD if unknown. You can update the Course Release page later.

In the Funding field, select the funding string that funds the buyout.

If it is not listed, you can add a new funding string by selecting “Add Funding” on the right. Refer to Edit Funding - Overview for more details on the Funding page.

Select “Update” at the bottom of the form to save your changes.
Can you delete a course release?
Yes, you can clear any course release data that has been entered for the current term or future terms.
To delete release data, go to the Course Release page and select the intended instructor and academic term. In the table below, select the “Clear Release Data” button in the first row.
Be sure to select “Update” at the bottom of the page to save your changes.
If there are multiple terms where the release no longer applies, you will need to complete the “Clear Release Data” process for each individual term.
