L&S Teaching Report

Each semester, the College of Letters & Science requests an updated departmental Teaching Report. In January, departments fill out a new report for the upcoming academic year. In September, departments will update the report for the current academic year.

L&S Teaching Report

Each semester, the College of Letters & Science requests an updated departmental Teaching Report. This report lists Faculty and renewable Academic Staff who have teaching commitments to a department/program.

The data is split into three tables:
  • Teaching Loads
  • Teaching Assignments
  • Course Releases
The Teaching Report is designed to assist departments and instructional programs as well as the Dean’s Office in documenting the allocation of Faculty and renewable Academic Staff teaching. 

In January, departments fill out new teaching reports for the upcoming academic year. Please note that the College may also review previous years’ teaching reports, so those reports should be updated at this time if necessary. In September, departments will update the current academic year’s teaching report as part of a secondary planning exercise.

Detailed Instructions for the Teaching Report:

Below are instructions for completing a blank teaching report. Please contact Amanda Mahr with any questions. Please take note that the Teaching Report is meant to be filled out in the order outlined below (Teaching Loads, Teaching Assignments, Course Releases). This is necessary because the list of instructors on the 'Teaching Loads' page populates the 'Instructor' drop downs on the 'Teaching Assignments' and 'Course Releases' pages. Once you’ve completed the list of instructors for the ‘Teaching Loads’ page, you may want to copy your list of instructors into the ‘Teaching Assignments’ and ‘Course Releases’ tables for easier data entry.

Teaching Loads

At the top of the ‘Teaching Loads’ worksheet, indicate the following information:
  • Department name
  • Date
  • Your name
There is space in the top right corner of this page for additional information regarding your department/program’s standard teaching loads.

In the ‘Departmental Teaching Load’ Table, please list all Faculty and Renewable Academic Staff who have teaching commitments to your department/program:
  • Instructor. Name of the instructor. Preferred format: Last name, First name 
  • Appointment Type. Indicate if they are Faculty or Academic Staff.
  • # courses / academic year. Indicate the individual’s standard teaching load to your department/program. This figure should rarely change. Do not change this column based on temporary reductions to an instructor's standard teaching load. This information will be added on the ‘Course Releases’ page.
  • Non-standard load. Use this column to explain any deviation from your department/program's standard teaching load, e.g. joint appointments.
  • % Departmental 101: Show percent funded on your department/program’s 101 funding for 2019-20.
  • % Other Salary: Show percent funded by other funding sources (e.g., 131, other departments, buyouts) for 2019-20.
This page also includes informational columns. No data entry is need for the following columns:
  • # of 2019-20 Courses. This counts the number of courses listed for the instructor on the ‘Teaching Assignments’ page. 
  • # of 2019-20 Course Releases. This sums the number of course releases listed on the ‘Course Releases’ page.
  • Error Check. For most instructors, the sum of the values in the '# of 2019-20 Courses' and '# of 2019-20 Course Releases' columns should equal the '# courses / academic year' column. If not, this column will display 'Error'. This indicates that a course or course release may be missing from the report, or that additional clarification may be needed.

Teaching Assignments

Please list the planned teaching assignments for your department/program. Please add one row per course commitment. E.g., cross-listed or meets-with arrangements would be listed on one row.
  • Instructor. This column is a drop down that populates from the ‘Teaching Loads’ page.
  • Course Assignment. Please indicate the course as appropriate. At a minimum, please include the catalog number(s).
  • Enrollment. Please indicate the planned capacity for the course.
  • Instruction Mode. Indicate the course's instruction mode. Options: Classroom, Online (some classroom), and Online
  • Semester. Please choose either Fall, Spring, or Summer. Please note that Summer is included for A-Basis/12-month instructors whose normal teaching load includes summer. Do not include summer appointments for C-Basis/9-month instructors.
  • Notes. Please use this column to explain the following scenarios:
    • Low enrollment courses, which are defined as follows:
      • Courses numbered below 300 with fewer than 15 students
      • Courses numbered 300 to 699 with fewer than 12 students
      • Courses numbered 700 and above with fewer than 8 students.
    • Courses with non-standard schedules. “Standard”= 3 or 4 credit course with one credit awarded for approximately 15 hours of lecture; please see the following KB document for more information: Policy on the Credit Hour
    • Multiple instructors credited with teaching a single course
    • Courses that count as more than one credit towards an instructor's normal teaching load.

Course Releases

Please list the planned course releases / reduced teaching loads for the Faculty and renewable Academic Staff who have teaching commitments to your department/program. For the purpose of this report, the term 'course release' includes any reduction to an instructor's standard teaching load. Examples include course releases for administrative assignments, sabbaticals, extramural funding, and leave. If someone has more than one kind of course release (e.g., someone with an administrative assignment who also buys out of teaching one course) please add one row per type of release.
  • Instructor. This column is a drop down that populates from the ‘Teaching Loads’ page.
  • # of Course Releases. List the number of courses that the person is released from for the academic year.
  • Description of Course Release. Briefly describe the course release. Examples:
    • Department Chair
    • On partial leave in 2019-20
    • Sabbatical Fall 2019
    • Research buyout, Spring 2020
