Scheduling Special Events in Campus Classrooms - FAQ for RSOs
Overview
This document is intended for Registered Student Organizations (RSOs) and addresses frequently asked questions about using and reserving General Assignment (GA) classrooms for special events. Department curricular representatives and other special event schedulers using 25Live should please refer to this KB document instead.
How can I request a classroom for my RSO's event?
Registered Student Organizations (RSOs) must submit classroom requests via Campus Event Services in the Unions.
How far out can I request a classroom for my RSO? What timeline should I expect to have a classroom assigned to my event?
Classroom space is only assigned to special event requests in the current active term, i.e., fall semester, spring semester, or summer term. During the first few weeks of a term, classroom space will only be assigned a week out from the day a room is needed for an event. After the first few weeks of a term, event occurrences for the remainder of the term will be assigned in the order they have been received.
What if I need to reserve a room for my RSO's event sooner than that?
By definition, campus rooms officially classified as classrooms have as their primary purpose serving credit instruction. Other uses are secondary and can be supported only on an as-available basis. Classroom requests to host activities are processed in a time frame to ensure that credit instruction has priority access to classrooms. Exceptions to these timelines are generally not possible. If you need a confirmed room reservation for your event before GA classroom timelines permit, you should either consider non-classroom spaces administered by the Unions, Housing, or other campus units. See the Office of Student Organizations, Leadership & Involvement’s Guide for Reserving Space for more information about non-classroom space.
My RSO needs a room today/tomorrow. What should I do?
Due to resource constraints and classroom priorities, RSO requests for General Assignment classrooms cannot be processed with limited lead time. If you have an unforeseen urgent need for a space reservation, you should consider venues other than campus classrooms. See the Office of Student Organizations, Leadership & Involvement’s Guide for Reserving Space for more information about non-classroom space.
Who do I contact if there is an issue within the room or if AV support is needed in a General Assignment classroom?
Campus classrooms are managed by FP&M’s Space Management Office.
Space Management's Classroom Support & Planning team has AV training and tutorials available on their website. If you have questions or need help with instructional technology in GA classrooms supported by Space Management, please contact their AV Help Desk during business hours.
Some technology-equipped classrooms are supported by school/college staff rather than Space Management. See here for more information about technology-equipped classrooms; scroll to the bottom of the page for information about classrooms supported by other units.
Who do I contact to request to change or cancel my RSO's event?
Please connect with the office you originally worked with for any changes to or cancellations of your room request. For most RSO requests, this is Campus Event Services in the Unions (events@union.wisc.edu).
How is priority assessed in General Assignment classrooms?
First priority for campus classrooms is given to credit-bearing classes. Second priority is given to academic events (including evening midterms and final exams, review sessions, and accommodated testing). Third priority is given non-academic events submitted by departments (such as department or staff meetings, trainings, and guest lectures). Final priority is given to events submitted by the Campus Events Services Office in the Unions and other units on behalf of Registered Student Organizations (RSOs); RSO requests are processed in the order they have been received.
Can I host a catered event or bring food/drink into a General Assignment classroom?
No. Food/drink are not allowed in campus classrooms. These rooms are neither equipped nor staffed to support food/drink in them.
