SIS - Obtaining New or Modifying Existing System Access/Authorization

This document provides information on how to obtain new or modify existing SIS authorizations.

Note: If you are new to SIS, a checklist of steps required to begin using SIS, including authorization, can be found at the SIS website. Information found here is needed to help you start the request for SIS access and the steps involved in the authorization process.

New Users to the Student Information System (SIS)

A SIS Security Request and Compliance form must be completed by all new users.  This includes staff who have self-service accounts only such as Instructor, Advisor, or Student.

Before requesting SIS access, view the SIS Role Catalog to find the most requested roles and the access each contains.

Non-student employee access

Requests can be made by anyone with SIS access as an employee, excluding those with self-service accounts only, in the SIS Security Requests tile on the SIS Administrative homepage.  Requests can be made by the employee, supervisor, or anyone who knows the type of access needed.  Information on the process of requesting SIS access can be found at SIS - Getting Started - Security Request.

Student employee access

Supervisors should submit a request through the Security Authorizations Access Request web form.  Requests will generate a WiscIT ticket and a SIS Security Request form will be sent through DocuSign by Security Authorizations staff.

Existing Users to the Student Information System (SIS)

Existing users who need to add or remove roles for their existing job should use the SIS Security Requests tile to submit a request indicating the roles to be added or removed. 

Transferring to a new department?  A new SIS Security Request, with a request type of New Staff/Transfer, should be made using the SIS Security Request tile when a user changes departments.  All access will be removed and replaced by the access indicated on the new request.

All student employees (both existing and transfers) should have a supervisor submit a Security Authorizations Access Request that will be sent through DocuSign following the same guidelines. 

Timeline for Requests

Non-student employees

Requests submitted through the SIS Security Request tile require roles to be selected by the requester.  The amount of time it takes requests to be processed depends on how quickly approvals are entered.  Access will be granted immediately after the last approval is entered.

Student employees

A request will be sent through DocuSign within 7-10 business days, if specific roles are included in the initial request.  If specific roles are not included, requests will be delayed until the correct roles are identified by the requester.   The amount of time it takes requests to be processed depends on how quickly approvals are entered.  Once all approvals have been entered, access will be granted within 3 business days.  The student will be sent an email to notify them of their login ID and roles assigned.  A second email with their password will follow. 

Accessing the Student Information System (SIS)

Non-student employees will have authorization extended to their NetID.

Student employees will receive a SIS-NETID login and password if they do not have one from previous employment.

Updating SIS Data

If you request access to "update" data in SIS (as opposed to just viewing data), you will need to attend training for some roles as noted in the SIS Role Catalog.

If training is required,  Registrar's Office staff will contact you within 3-5 business days of you approving the request.

Once you have completed the authorization form, and attended the required training, you will receive an email notification that you are authorized to update that data.

Accessing SIS Outside of Standard Hours

Non-student staff should be able to access the system whenever it is operational.

Standard SIS access hours for student workers are Monday through Friday from 7:00 a.m.to 5:00 p.m. If you need access to the system outside these hours an additional SIS Extended Access form must be submitted to security.authorizations@doit.wisc.edu.
