G-Code Definitions in SIS: Graduate School Codes

This document provides definitions for the Action Reason Codes (G-Codes) used by the Graduate School and applied by the Office of Admissions.

Program Action in SIS = Application (APPL)

G-Code (as shown in SIS)

G-Code Definition

G00: Available for Recommendation Applicant submitted application.
G02: Missing AcadRecords/Transcript Graduate School requests official transcripts.
G04: Evaluation Available This code is retired as of Fall 2024.
G05: Dean's Review Prosheet received, additional review in progress.
G06: GS Follow-Up Graduate School requests additional or updated information from applicant.
G07: Term Change Term change has been processed.
G08: Reentry Request Reentry application has been submitted.
G10: Pro Sheet Required GSAR requested from program justifying recommendation despite application not meeting Graduate School requirements (e.g., low GPA).

G-Code Definition

G35: EnglishProficiencyTestRequired Applicant needs proof of English proficiency (e.g., official TOEFL or IELTS test results).

Program Action in SIS = Admit (ADMT)

G-Code Definition

G11: Admit-Full Standing New grad admit.
G12: Reentry Re-entry admitted.
G13: Full Admit-Missing Final Trans New grad admitted. At time of admission applicant is missing final official transcript with final degree posted.
G17: Admit on Probation This code is retired as of 2023
G18: Temporary Admit on Probation This code is retired as of 2023

Program Action in SIS = Administrative Withdrawal (WADM)

G-Code (as shown in SIS)

G-Code Definition

G54: Incomplete Application Graduate School withdraws application after the entry term begins when a recommended applicant didn't provide the required materials to be admitted (e.g., the recommended applicant didn't provide an official transcript or proof of English proficiency).
G57: Graduate School Withdrawal Graduate School withdraws application.

G-Code Definition

G40: Dean's Refusal Dean/Director denied admission after GSAR review. 

Program Action in SIS = Matriculation (MATR)

G-Code (as shown in SIS)

G-Code Definition

G70: Manual Matriculation Graduate School creates student record through manual matriculation. 
AUTO: Automated Matriculation Process Creation of student record through automatic matriculation.

Program Action in SIS = Admission Revoked (ADRV) - Office of the Registrar

G-Code (as shown in SIS)

G-Code Definition

APWD: Applicant Withdrawal Graduate School requests applicant withdrawal by registrar's office (e.g., applicant never enrolled). Entered after matriculation.
TCHG: Term Change Graduate School requests term change by registrar's office (i.e., change of session). Entered after matriculation.
NENR: Never enrolled Applied by the Office of the Registrar when an admitted student never enrolls for the entry term. This is applied after the enrollment period closes, typically a few weeks into the term.
