All about printing at CAE

The Computer-Aided Engineering Center has black and white printers available in most of the CAE computer labs (https://www.cae.wisc.edu/labs/). There are also two plotters (EH 2324 and ME 1262) and a color printer (CAE 116).

Printing is charged to your WisCard. If you do not have a balance on your WisCard, you can find information about your WisCard here: https://wiscard.wisc.edu/ . There are some situations where you may carry a balance in the printing system PaperCut. In these instances, your PaperCut balance will be charged before your WisCard. CAE has no mechanism in place for departmental paper purchases for printing in CAE labs.

Printers are provided for printing homework, and other related coursework. The printers are not meant for high-quality print jobs, such as resumes. CAE does not guarantee anything better than draft quality printing. Loading paper of any kind into the paper trays is not allowed.

The CAE Help Desk monitors the printer in CAE labs. Alerts are sent when the printer is in need of service. These notifications may take 15 minutes or more to reach the Help Desk. If you are waiting to resolve a printer issue, please contact the CAE Help Desk (helpdesk@cae.wisc.edu) or call 262-5349. Opening a printer to add paper or clear a jam is not allowed, and may result in the suspension of your CAE account. Please do not clear paper jams. Instead, call the CAE Help Desk for assistance.

IT IS IMPORTANT to review your print settings. Sometimes, a program will select the wrong printer. Chrome is particularly bad about this. It will select a previously used printer instead of the nearest lab printer. In addition, be sure to review the duplex settings, and be sure that you are not accidentally printing to a plotter or the color printer.

Charges for printing on CAE Printers are as follows:

  • $0.07 per black & white page or $0.05 per side for duplex
  • $0.60 per color page
  • $1.80 per linear foot on plotter printers

Please double check your print settings before releasing your print job from the print queue (see below). Refunds will be given for illegible prints. Jobs that are sent to the wrong printer (including, wrong lab, the color printer or plotter) are not eligible for refunds.

In order to print on a CAE printer, you must either have a balance on your CAE PaperCut account, or have a WisCard with a balance on it. CAE does not use GoPrint, which is a campus printing system.  

NOTE: Be careful not to add money to GoPrint through your WisCard for CAE printing. CAE cannot use the funds on your WisCard GoPrint Account. Please make sure to add to your main WisCard balance for printing at CAE.

Please note that the balance shown in the PaperCut widget on your CAE desktop will display the COMBINED balance of your WisCard and PaperCut account. So if you have $43.15 on your WisCard, and $2 in PaperCut credit, your balance will show as $45.15 in the widget. If you had no PaperCut balance, your balance would show as $43.15 in the widget.

  • $0.07 per black&white page or $0.05 per side for duplex
  • $0.60 per color page

CAE has introduced the print release queue. When you print anything to a CAE lab printer or plotter, the job will be held in the print queue until it is released. Once you release the print job, your WisCard will be debited. When you log into the print queue (see below), you will have the option to either print or delete the job. If you do not release the print job, it will be held in the queue for two hours. If it is not printed withing the two hour time frame, the job will be automatically deleted. 

Some printers, like ME 1262 and Wendt 105, have a print release station nearby (see below). You may instead choose to release the print job from your workstation. If you choose to do this, please be sure that the printer is online. Once you release the print job, your account will be debited. Money cannot be credited back to your WisCard

If you find that the printer is jammed, the line is backed up, you printed in error, etc, you can use the print release queue to delete the job and use a printer in another lab. If the printer is jammed, or has another stoppage, please contact the CAE Help Desk at 262-5349.

There are three ways to release your print job:





Print release stations are located near select printers. Not all printers have a print release station. 

To use the print release station, enter your CAE log in credentials on the log in screen.

 


Choose the document that you wish to print, and click on Print. If you would like to cancel the job, click on Cancel.


  


If you chose Print, your document should now print on the selected printer. If you chose Cancel, your account will not be deducted for the job.



 Releasing a print job from your workstation:

When you print a document (using a Windows computer), you will see a popup that will give the address to the User Interface.





*From a Tux machine, you can open "CAE Print Info" under CAE in the Applications menu:

Enter your CAE credentials to log into PaperCut.




You should now see your print summary:

Finally, select Jobs Pending Release from the left sidebar menu, and release the job you want to print or cancel a job you don't wish to print.

Please Note: Printing will not work outside the College of Engineering wired network. You will not be able to print to these printers from your laptop over a wireless connection unless you use the CoE VPN. The Software VPN will not work for this purpose. If you need to print from a laptop, please see Web Print.

Windows

  1. Open Run. This may be done by selecting Start and searching "Run" in Windows XP and Vista or by selecting Start and selecting Run... in Windows XP. For Windows 8, go to the start screen and simply type "run" and hit Enter.
  2. Enter \\engr-print.ad.engr.wisc.edu into the Open: field of the Run prompt and select OK.
  3. When logging in use your CAE username prefaced by ENGR\ (ex: ENGR\username ). Enter your CAE password and select OK. Note: You will need to check the box next to "Remember my credentials" for this to work after reboot (otherwise you will have to through steps 1-3 every time you want to print).  If this is on a shared computer or one that you do not have strong passwords on, it is not recommended
  4. When presented with the list of CAE printers, right-click on the printer you desire and select Connect.

Mac

  1. Select System Preferences from the dock.
  2. Select Print & Fax.
  3. If necessary, Click the lock to make changes located in the lower left corner.
  4. Select the + icon located below the Printers list.
  5. In the Add Printer window, select the Advanced tab. If you do not have an Advanced tab, then right click on the gray area next to the other tabs and select Customize Tooblbar. Then from the sub-menu, drag the Advanced tab to the Add Printer window toolbar to join the other tabs.
  6. Customize Toolbar
  7. Set the Type: to Windows.
  8. Set the URL: to smb://engr-print.ad.engr.wisc.edu/[printer name].
  9. Enter an appropriate Name:.
  10. In the Print Using: field, choose Select Printer Software... and specify the appropriate printer model.
  11. Select Add.
  12. The first time you print to this printer, you will be asked to specify your Name: and Password:. Use your CAE username prefaced by ENGR/ (ex: ENGR/username ). Enter your CAE password and select OK.
You are now able to print using this CAE printer. Below is a list of printer names, and where they are located.

Web Print is a service that enables laptop, wireless and unauthenticated users utilize CAE Printers without the need to install print drivers.

Accessing Web Print

1. Navigate to https://print.engr.wisc.edu/user with an internet browser, you should be presented with the PaperCut login screen as seen below.
2. Proceed by entering your CAE credentials
   
 

3. Once logged in, you will be taken to a page displaying a summary of your CAE printing activity as seen below.



4. Click on the tab named "WEB PRINT" located in the menu on the left-hand side of the page.



Printing from Web Print

Selecting the "Submit a Job" link will begin the process of uploading a document to Web Print.

1. The first step of the process is to select the printer you wish to use from the list of available printers.



NOTE: Not all CAE printers are available from Web Print.  Also, users should be mindful that two printers are listed for the lab in the Computer-Aided Engineering Building: cae-116-color and cae-116-duplex.  Be sure to select Duplex when printing to CAE-116 unless color is needed. Printing in color will charge $0.60 to your Wiscard account for each page printed.

After selecting a printer, move on to "Print Options and Account Selection".



2. Input the number of copies that you wish to print.  Move on to "Upload Document".



3.  To upload a document, click "Browse".  Locate the file you wish to print and open it.

NOTE:  Only certain file types are able to be printed via Web Print.  A list of acceptable applications/file types is displayed in the image above.

From this point, once you click "Upload and Print", your document will be uploaded and added to the print queue for the printer you selected.

CutePDF creates a PDF by printing to a file instead of a printer and can be found from the printing menu of any document that can be printed. To use it, follow a few simple steps:

  1. Chose the print option for the document, web page etc that you want to print (usually by going to file > print).
  2. From the drop down menu of printers, select "CutePDF Writer."


    3. A save-as screen will pop-up. Simply select the location you want the file to go and click save your file.


Note: You will not be able to edit PDF documents created with cutePDF, so remember to keep a copy of the original document so that you can easily edit it. You can edit PDF files with a program like Adobe Acrobat, which is installed on CAE Windows computers.


Please note that printing charges are now deducted from your WisCard. In most circumstances, a balance in PaperCut is from a print refund. CAE is not able to make refunds to a WisCard, so any refunds are made in PaperCut. The next time that you print, your PaperCut balance is deducted first, then your WisCard. Balances on a PaperCut account are non-refundable.


  1. Go to the following URL: https://print.engr.wisc.edu/user
  2. You will be prompted for a login. Please use your CAE Login and Password as shown below. Click Log In.

      

You will now be at your PaperCut Account Summary. The amount of pages remaining on your account is located on this page as "Balance". To access a summary of all the jobs you have printed this semester, simply click the recent print jobs link on the left hand side of the page.

Printers cause some of the biggest headaches... 

Here are a few things that might help solve some of the mysterious things that happen when trying to print a document.

Please note: CAE does not guarantee the print quality from our printers. You should expect "draft" quality, with the potential for lines and smudges. Refunds will not be given for low print quality, unless it is illegible.

General Troubleshooting:
Notice that most of these involve PDF files. These bring certain challenges as a small PDF file can be rendered into a giant monster by the program that opened it, causing the printer to fail on a job that seems reasonable.

-If you are printing a large PDF file, you may want to send it to the printer a few pages at a time.  This keeps large jobs from bogging down the print queue, as well as make it easier for the printer to process. Otherwise you can use the printers in ME 1262 or CAE 116 which are built to handle larger sized jobs such as these.
  
-Save PDF files to your desktop instead of printing them straight from a web browser. 

-Occasionally a downloaded PDF's settings will somehow get screwed up and the printer won't print it correctly.  When this happens, print the PDF as another PDF by selecting CutePDF writer from the list of printers. 

-If a printer is jammed or out of paper, call the CAE Help Desk at 262-5349, don't try to fix it as your account can be suspended for messing with CAE equipment. Sometimes trying to fix it makes things much worse, and it is generally not hard to determine who did it.

-All of CAE's duplex printers default to print double sided.  If you wish to print a document single sided, you must go into the printer properties (Ctrl+P, then click on Properties) and switch from "Print on both sides" to "Print on one side only".

-Please note that CAE printers only have Letter (8.5x11) and Tabloid(11x17) sized paper available.  If you have a print job that won't send to the printer, you may be printing a size that is unavailable. The print server has been configured to reject jobs that aren't on the right sized paper.

-If printing from Google Chrome, regardless of what kind of file you are printing, be sure to check the print settings.  Chrome has been known to occasionally default to printers that aren't even in the same building as the lab you are printing from.

-Printers will not print a blank piece of paper.

Print account balance not showing:

There are a couple of reasons that your balance may not show up properly in the CAE system. The most common reason is that CAE does not use the campus print system. If you put a balance on the campus print system (Go Print), it will not show up on the CAE balance. You should add  money to your WisCard, The other reason that your balance may not show is if you recently had your WisCard replaced. The new WisCard number may not be updated in the CAE system. You can now manually update this by logging into my.cae.wisc.edu and clicking "Refresh Campus Sync" under Account Tools (https://account.my.cae.wisc.edu/account/refresh), then click Refresh Data.

Possible issues by Lab:

B103c:

-This is the oldest on the engineering campus (maybe the whole city), and sometimes it acts like it.  If you have to print a relatively large job, such as a multi-page pdf or a word document with a lot of images, you may be better off using one of the newer printers, such as 2261 or B555.

-These printers will also say "Offline" or "Power Saver" on the display at times.  When this happens, you should only have to press the green "Go" button, and the printer should come back online.

116 CAE:
-Computers in this lab print to the printers in room 116.  The main issue people run into is accidentally printing to the color printer, which results in a much larger charge to the print account.  When printing from a computer in these rooms, be sure your print job is being sent where you want it to go, cae-116-duplex for black and white jobs or cae-116-color for color print jobs.

EH 2324 and 1235 ME:
-These rooms have a plotter printer in addition to the black and white printers.  As with the 3 rooms listed above, be sure you have the correct printer selected for where you want to print, which are as follows:

EH 2324engr-2324-plotter for poster sized prints and engr-2324-duplex for black and white print jobs.

Printing problems are one of the most common issues that come to the CAE Help Desk. It is incredible how difficult it is to reproduce, diagnose and fix problems related to printing. In order to better attempt to find problems, CAE now requires the submission of a refund request form. While this may be slightly more inconvenient for you, it will help us track and fix the problems and causes.

 In order to be useful, this form must be submitted with the required fields completed, along with the attached file that experienced the issue. **The file that is submitted will ONLY be used for testing purposes.** This should provide enough information for us to attempt to reproduce the problem. 


Filling out the Print Refund Request Form

Be sure you attach the file you were attempting to print.  If that file is not attached, no refund will be given.  The file that is submitted will ONLY be used to test the printer.

Below are the fields included on the request form, as well as an explanation of what is needed for each entry and/or why we need the information. The first 3 fields are very straight forward, and simply gather contact information.

CAE login:
Email Address:
Software/program printed from:
     This allows us to figure out if it is a specific program or file type that is causing the issues printing. If you are printing a PDF from learn at UW, you should list the Web browser you printed it from, and not simply say pdf.  That is something you could include in the additional details section.

Computer printed from:
     This allows us to narrow down the cause to see if the problem is specific to one computer.  Generally this entry should be WIN-#### or Tux-### (ex WIN-1005 or Tux-102).

Printer attempted:
     This helps us figure out if it was a hardware issue with the printer.  These are normally listed in a "Building-Room-Printer" format.  EX. CAE-116-duplex or EH-2324-Plotter

Additional details:
     This field should contain any other information you find necessary.  Examples could be: The printer jammed when there was no one working at the help desk to clear it,  the printer ran out of paper when no one was around to refill it, only a few pages of my multi-page document printed, the printer had an error, the job just didn't print, etc.
