E-mail Template for New to Campus Student Hires Once They Have Submitted Hiring Forms

Introductory E-mail to new CFYE hires explaining how time is entered at CFYE, explaining that they should expect to receive an invitation to complete Section I of the I9, and details about what to have on hand for the I9 process.

Hi ,

Thanks for getting your hiring paperwork to me. Two IMPORTANT things are in this long e-mail, please read through it carefully.

1. I have set up your job appointments in the human resources system. You should be able to enter the times for your training onto your time sheet. At CFYE students enter their own time.  You cannot enter time for dates outside the current pay period, so please get in the habit of adding your hours at the end of every shift.
2. You just received an e-mail with credentials to login in and complete section 1 of the I9 form
IMPORTANT: Please review what you are asked to enter in Section 1 and ask any questions BEFORE you use the login contained in the e-mail to enter the GIS site.
The login phrase you receive is only valid ONE-TIME, if you leave the form without completing it, or are timed out you will need to contact me to send a new pass phrase to you and you will need to start the form over again. If you fill out any of Section 1 incorrectly, you will need to complete the form again; the system does not allow others to make any corrections on your form. Therefore It vitally important that you have all the information you need to complete Section 1 and you and have gotten answers to any of your questions before you start.

The most common mistake is made by Non-US citizens about which immigration status they are. If you are not a US Citizen please work with ISS to determine which immigration status you should select.

You need must bring your appropriate document(s) to Carol Pope for verification before or within the first 3 days of starting work

Documents you bring in:
  • MUST be the ones you used when completing Section 1 of the on online I9 form
  • MUST be the originals (no copies or scans can be accepted) a certified copy of birth certificate does count as an original document
  • If document is a type with an expiration date it MUST be unexpired.
