GSTS - Academic Advisement Report (Graduate Coordinators)
This document provides an overview of how Graduate Coordinators can access and run Academic Advisement Reports for graduate students using the Graduate Student Tracking System (GSTS). It also provides an overview of the Academic Advisement Report structure and an introduction to reading the report. Note that the access path and report view are different for both faculty and students.
Log in to https://madison.sis.wisc.edu using your NetID and password, and click the compass icon in the upper right hand corner of the screen to open the NavBar.
On the NavBar select the Navigator icon, and click Academic Advisement, then Student Advisement, and finally Request Advisement Report.
If running a report for the first time select the Add a New Value tab. Then, in the ID field enter the student's EmplID*, enter the Report Type as GRADV, and click Add.
*Note: this is the SIS EmplID, not the Campus ID, and it can be found by looking at the student's record in the Records and Enrollment module of SIS.
Click Process Request.
The following screen should then be displayed. This provides general information that explains what GSTS is, and includes a disclaimer for users that course exceptions and prior coursework may not be displayed in the report.
Student's actual coursework and academic progress are reflected in this report. Areas that are "not satisfied" remain expanded, and areas that are "satisfied" will be collapsed.
However, you can automatically collapse and expand all sections in the report using the buttons at the top of the page.
Each component will show the units or number of courses required, taken, and needed. Units or courses in progress are considered "taken" but will display with a yellow triangle next to them.
Scrolling down you will also see Minimum Graduate School Requirements, including those for resident credit and graduate coursework (50%). These minimums are pulled individually for each program from the Requirements tab on the program Guide page.
Lastly, at the bottom of the page you will find Informational Data which includes courses not counted for program requirements, but which might be used towards completing the Graduate School requirements.
Once a report has been requested for a student you can use the Find an Existing Value tab to search for the report. In the ID field enter the student's EmplID*, enter the Report Type as GRADV, and click Search.
Note: Reports will be auto-run nightly.
